Open Until Filled  GENERAL DESCRIPTION:
Provide customer support and act as the first point of contact for participants, applicants, and providers that contact the Medicaid Home & Community Based Services (HCBS) Section. This position will receive and process application requests, as well as receive and process incoming applications for the Community Choices Waiver (CCW) in addition to providing administrative support to HCBS Section Units and staff that oversee the Developmental Disabilities (Comprehensive and Supports) and Community Choices Waiver (CCW) programsProvide customer support and act as the first point of contact for participants, applicants, and providers that contact the Medicaid Home & Community Based Services (HCBS) Section. Customer Support Provide customer support and act as the first point of contact for participants, applicants, and providers that contact the HCBS Section. Deliver basic technical assistance and information about benefit programs available in the State, and gather necessary information to triage and escalate questions as needed. Use multiple technologies and contact methods in responding to inquiries, including telephone and email, to meet the needs of those seeking information from the Unit. Receive, track, and process incoming requests for application packets and other HCBS Section resources.  Application Processing Receive and process applications for the Community Choices Waiver (CCW) in a timely fashion, which includes documenting the receipt of applications, updating and maintaining the application tracking mechanisms, verifying or requesting additional application information as needed, and processing incoming applications through the State-selected system. This requires the individual to maintain a high level of understanding of the related systems and processes. Provide support and assistance to participants applying for enrollment/eligibility under the CCW. Program Operations Support Provide administrative support to HCBS Waivers' programs leadership and staff. Assist as requested with program operations; which may include data entry, gathering information for reports, contracts, or operations processes; scheduling meetings with internal and external stakeholders; creating meeting agendas; taking meeting notes and minutes; ensuring incoming mail is routed to appropriate staff, letters and mailings, and other duties as requested by operations unit staff. Work under limited direction to balance priorities and achieve deadlines. Provide support to and act as backup for the Business and Operations Support Specialist as needed to ensure section support deadlines and requirements are met. Program Administrative Support Perform a variety of program support activities, in coordination with the Business and Operation Support Specialist, on an ongoing and daily basis including preparing and distributing ongoing and as requested administrative and program-related reports, letters, and communications, data entry, coordination of mailings, scheduling meetings and managing meeting logistics, taking and disbursing meeting minutes, ensuring availability of office supplies in coordination with Division administrative support staff. Work with limited direction to balance priorities, complete tasks and meet requirements and deadlines KNOWLEDGE: Knowledge in applicable computer applications (Microsoft Office Suite, primarily Word and Excel; Google workspace/G Suite, primarily Gmail, calendar, drive, docs, sheets, and Forms) Experience in providing excellent customer service and support for multiple programs. Skills in effective communication, both written and verbal. Skills in managing time and priorities. Ability to identify issues and escalate as needed. Ability to learn technology and internal processes quickly. MINIMUM QUALIFICATIONS: Education: Associate's Degree
  Experience: 0-2 years of progressive work experience (typically in Benefits and Eligibility)
  OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Benefits and Eligibility)
  Certificates, Licenses, Registrations: None
PHYSICAL WORKING CONDITIONS: Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. Special physical demands are not required to perform the work.
