Position Summary(Classified as: Student Services Professional III)Full-time position available on or after April 1, 2024 in Student Records.Under general direction of the Director or Enrollment Services, the Graduation Advisor plays a pivotal role in guiding undergraduate students within their assigned College, providing comprehensive advising on general education, graduation requirements, and program-specific mandates. The incumbent will closely monitor students' progress, identify potential challenges, and provide tailored coaching, ensuring they navigate their academic journey effectively and handling complex graduation-related issues. The role extends to delivering informative workshops, maintaining accurate records, collaborating on New Student Orientations, actively contributing to outreach efforts and develop advising tools.Job DutiesDuties include but are not limited to:Provide academic/graduation advising to college specific undergraduate students on general education, graduation requirements, program-based requirements, and other related policies and procedures via drop-in advising, both in-person or remote, individual appointments, and group workshops.Monitor and assess students' progress in achieving their path to success and adjusting their path based on the progress and changing needs of the student, identifying current and potential challenges and actively coach students through such challenges, making appropriate referrals to campus resources.Resolve complex graduation advising-related situations by applying in-depth knowledge of academic policy and recommending an appropriate course of action to students, including assistance to the student to rectify issues and/or communicate with the faculty advisor on the student's behalf.Deliver workshops/graduation advising sessions for students in their assigned college, with focus on preparing and reviewing students for graduation.Actively listen to students; provide accurate, respectful, and effective communication (oral and written) to students, faculty, staff, and administrators; exercise confidentiality, discretion, and judgement, and handle moderately sensitive interpersonal issues.Review and evaluate academic records for applicants for graduation, determine that student has met all general education, major, minor, and/or concentration and university requirements. Work with faculty to approve and/or clarify major requirements, communicate with students, and award degree as appropriateEnsure that all policies and procedures regarding the final degree evaluation applies appropriate changes in curriculum, changes in Title 5, and/or any executive orders required for degree completion. Ensure that academic record is updated with appropriate notes for accurate record keeping.Serve as final review for master's program requirements, and ensure that candidacy forms are accurate, and complete, and that all CSU and Title 5 regulations for a master's degree have been met, and award degree, as appropriate.Assist with development of college-based advising tools and resources (Stan Degree Progress, Stan Planner, transfer planner, degree requirements).Outreach to Juniors and Seniors in support of timely degree completionMaintain accurate records and information/data related to advising sessionsParticipate in Preview Day, New Student Orientation, College based recruitment efforts, etc.Assist with testing/validation of degree audit changes, workflow, automated graduation, etc.Assist with undergraduate admissions by reviewing incoming students' final eligibility for admission, determining course equivalencies and posting external coursework.Handle admission for students applying to graduate programs, and 2nd bachelor's programs, serves as a resource for graduate program directors/coordinators, and facilitates referrals to programs for final admission decision.Assess records and provide course to course articulation, calculate GPA, assess, and determine credit for military and CLEP credit, and interpret test scores.Other duties as assigned.Minimum QualificationsEducation: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.Experience: Equivalent of three years of progressively responsible professional student services work experience. (A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience.
