The Faculty Support Team of the Stanford Graduate School of Business seeks a Faculty Assistant II. The FA II will provide support to Faculty in all areas of classroom preparation and research support. Provides extensive office administrative assistance (MS*Suite; Word, Excel, PowerPoint & Google document/drive management.  Duties include, but are not limited to: preparing course readers, class materials, research papers, correspondence, processing Pcard transactions, expense reports, creating/updating class-integrated Web pages, processing timely domestic, international reimbursements, provide backup support to other FA members as needed. The FA II should also have successful work-related experience as an Administrative Assistant, Office Assistant, or equivalent in an academic, research, or business setting, support at least ten Faculty or managers in a high-traffic customer service environment is necessary. Extensive admin experience in an academic business school environment is highly desired, as is familiarity with other academic customer-service programs for faculty, students, alumni, visiting scholars, and University visitors. Must possess the ability to adhere to strict time-line schedules that coordinate with daily and quarterly academic calendars. Provide administrative or operational support working under general supervision.
This Faculty Assistant II position is an onsite role.
Your primary responsibilities include: ?    Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
?    Highly motivated to perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
?    Skills include writing or editing communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays. 
?    Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
?    Process and monitor financial transactions, which may include researching and resolving discrepancies.
?    May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
?    Maintain approved content on websites.
?    May guide and train new staff and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness. 
* - Other duties may also be assigned To be successful in this position, you will bring: ?    High school diploma and minimum of three years of administrative experience, or combination of education and relevant experience. Proficient computer skills and demonstrated experience with office software suite and email applications.
?    Demonstrated success in following through and completing assigned tasks.
?    Strong organizational skills (written/verbal) and strong attention to detail.
?    Strong verbal and written communication skills.
?    Excellent customer service and interpersonal skills.
?    Ability to prioritize and multitask based on deadline requirements.
The expected pay range for this position is $56,000 to $70,000 per year. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
