Position Highlights The University of Arizona's College of Applied Science and Technology on the Sierra Vista, Arizona campus is inviting applicants to apply for an Administrative Assistant position. This position will be in-person Monday through Friday, 8:00 am to 5:00 pm, on the Sierra Vista Campus. This position will be the first point of contact for visitors coming to the Sierra Vista campus. They will be responsible for answering and directing phone calls and navigating written and electronic communications. This position will receive and distribute mail and packages and provide basic administrative support for college administration. It will also support other units on the campus as needed, including, but not limited to, event setup and logistical needs. This position will require you to have basic knowledge and situational awareness on campus to direct visitors and answer questions.
The University of Arizona's College of Applied Science and Technology (CAST) is the only UA college offering the Bachelor of Applied Science (BAS) Degree. Duties & Responsibilities Receive, direct and respond to visitors, telephone calls, written and electronic communications. Direct more complex inquiries to appropriate individuals or departments. Receive, distribute, and send notifications related to mail and packages delivered to the Sierra Vista Campus. Provide basic administrative support for college administration, i.e. filing, scanning, record keeping, and meeting scheduling. Compile and organize information and data into departmental databases. Assist in supporting other college departments with possible data entry, scanning, distributing, and organizing information and data. Assist with college or campus events set up and logistics as needed. Assist with student services, receiving, scanning & sending transcripts. Prepare conference rooms for scheduled meetings, including Zoom set up. Preforms other administrative and clerical work
in support of the front office. Maintain strict confidentiality. Knowledge, Skills & Abilities: Ability to perform office tasks accurately and efficiently, such as filing, data entry, and scheduling, with minimal errors. Proficiency in expressing ideas clearly and persuasively
through both verbal and written communication. Ability to utilize professional phone etiquette with clear and courteous communication, effective message-taking, and appropriate handling of calls. Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, demonstrated through the ability to create, edit, and format documents, spreadsheets.
