The Division of Aging and Adult Services seeks an experienced and highly motivated individual to join our team as an Administrative Assistant 3 with Aging and Disabilities Services unit. DAAS supports at-risk Arizonans to meet their basic needs and to live safely, with dignity and independence. Services and programs reach a diverse population of Arizonans.
Under general supervision, performs a variety of complex administrative tasks for the Aging and Disability Service (ADS) program leadership including research, operations planning, special projects, coordinating internal data entry spreadsheets, managing various records and data points, and quality control to ensure work products meet defined quality criteria and requirements.
This position may be available for remote work within Arizona (1 days per week in the office/hoteling).

Essential duties and responsibilities include but are not limited to: Perform complex administrative tasks such as research, special projects, prepare and coordinate data entry and reports and operations planning. Coordinate administrative support for managers for various tasks and projects, including quality control. Prepare a variety of data entry and operational reports. Coordinate equipment and on- boarding process for new employees and support hiring managers during recruitments. Develops or modifies procedures and forms to improve program effectiveness, including supporting the development of process maps for ADS programs. Prepares a variety data entry and operational reports. Coordinate routing processes, monitor communications and submit completed documents into appropriate web-based systems. Coordinate administrative matters between organizational entities. Understand and describe organizational rules, regulations and functions to stakeholders and the public. Coordinate activities with other divisions, agencies, community organizations and other stakeholders. Assist with planning/coordinating/execution of events. Represent ADS as assigned, at meetings, workshops, and seminars. In-state travel. Compose various and diverse correspondence and maintain meeting notes. Develop or modify procedures and forms to improve program effectiveness, including supporting the development of process maps for ADS programs. Knowledge Of
Knowledge, Skills & Abilities (KSAs): Principles and practices of effective practices of administration and management of workflow. Accounting and budgeting procedures. Standard office policies and procedures to perform discretionary tasks. Contracting concepts. Skill In Organizing and compiling data into required format. Quickly mastering and assimilating new systems and detailed procedures. Establishing and maintaining interpersonal relations and dealing with internal/external customers. Planning, prioritizing, and managing workload to effectively and timely accomplish tasks. Ability To Write clear, concise, and accurate documents. Perform mathematical calculations to reconcile reports. Plan, analyze, coordinate activities, and correctly prioritize tasks in a dynamic work environment. Expediently extract correct data to populate system reports. Selective Preference(s)
The ideal candidate for this position will have: Bachelor's degree in public administration, public policy, social work, gerontology, business administration, or related field **AND** 5 years progressive leadership experience required. Experience with program monitoring and quality assurance, contract management, and public policy research, development, and implementation.
