Position Summary
Bancroft School seeks an Administrative Assistant to support the Upper School Division Head and perform Registrar duties. The assistant organizes, coordinates, and performs administrative duties requiring independent judgment, discretion, and confidentiality. Strong organizational and communication skills and a professional customer service-oriented demeanor are essential to this forward-facing position. Therefore, discretion, diplomacy, and courtesy are of the utmost importance, as the assistant will be in frequent communication with faculty, administrators, parents, students, and community members. This position requires an individual who can assess, prioritize, and synthesize varied requests. It will be important that this person understands the inner workings of a School and appreciates how the details influence the larger picture.
Essential Job Duties and Responsibilities Represent Bancroft School by serving as the first Upper School point of contact via telephone, email, and in person. Provide excellent customer service to students, families, faculty, and guests of the Upper School. Develop and foster positive relationships with students, families, and faculty. Manage the calendars and schedules for the division being sure that the schedule is set to reflect Divisional priorities; field inquiries from and arrange for meetings with staff, faculty, and parents; reserve meeting spaces. Maintain daily attendance reports and work closely with the student support team to track students reported as absent for the day. Assist the Division Head by organizing and coordinating all aspects of special events such as faculty functions, and varied student ceremonies; including Awards Assembly and Commencement. Support the Upper School Dean of Students Manage data in the Blackbaud LMS. Maintain student electronic files, including attendance, grading and transcripts. Interact/work with other divisions and School leadership to staff school functions and events across campus, including Commencement. Registrar Duties Support the Division Head to create the master class schedule. Ensure student and teacher schedules are accurate and up to date throughout the year. Serve as a resource for providing solutions to classroom scheduling and process issues. Verify student related data (e.g. grades, residency, etc.) for the purpose of ensuring the accuracy of the student records. Qualifications Bachelor's degree required. Prior years of experience in an academic office setting. Understanding of the importance of confidentiality and privacy in an educational environment. A high level of integrity and a strong work ethic, particularly an eye for detail and a focus on timely execution of projects and updates. Clear communication and effective collaboration. Enthusiasm about working with children, adolescents, and their families; greeting guests; and creating a welcoming environment while consistently providing a high level of customer service. Excellent computer skills including high proficiency in Google Suite and Microsoft Office Suite. Experience in Blackbaud: including school-based data systems. Has a strong command of data organization. Ability to effectively multi-task while maintaining a detail-oriented, flexible, unflappable, and energetic demeanor with a strong emphasis on customer service. Successful completion of a criminal records background investigation.
