Job Description
General Summary
Under limited supervision, coordinates the ordering, receiving, and distribution of patient care supplies and equipment across multiple sites for the University of Maryland Access Center. In addition, the individual manages the capital equipment to include annual performance maintenance and any other performance issues related to the equipment. Performs administrative functions that are related to management of the environment of care within the units. Fulfillment of the job duties requires the employee to have access to medication storage areas.

Principal Responsibilities and Tasks

* Monitors and directs the flow of patient and administrative supplies, and equipment in UMAC by observing supply levels and recording the type and quantity of stock needed in each unit.
* Actively manages supply level and makes recommendations to leadership regarding changes in supply levels to leadership.
* Manages all aspects of new product onboarding to UMMS, to include but not limited to clearance process for new vendors, and approval of internal stakeholders/committees.
* Oversees capital request process to ensure all internal steps are followed for the UMMS capital purchase process.
* Monitors all capital, disposable, and durable equipment/supply purchases from purchase to arrival of product/equipment to include procurement, and internal review.
* Utilizing the UMMS software program (INFOR) for equipment and supply ordering, and serves as the expert for the UMMS software for other stakeholders within UMAC
* Discusses and investigates any supply, or maintenance related concerns that affect the operation of the access center. Independently develops action plans to address any noted concerns
* Maintains close contact with Maintenance, Corporate Contracting, Facilities, Clinical Engineering and Informational Technology, personnel to ensure all maintenance, repair and housekeeping request are being filled, timely.
* Ensures that supplies and equipment placed within hospital settings, are compliant with Joint Commission environment of care, and other outside regulators' standards.
* Communicates with outside vendors to place orders or to resolve problems with purchasing or billing to assure timely receipt of supplies.
* Receives incoming supplies, daily; verifies delivery with par levels; and maintains appropriate levels of supplies and equipment at the bedside.
* Processes all returns, and ensures appropriate cost center refunded appropriately.
* Monitors utilization, and expenses for billable supplies.
* Assist with the onboarding of new projects to UMAC, and addresses equipment/supply needs related to the project.
* Virtual and on-site support (to all member organizations), for UMAC equipment that is not functioning, and escalation of equipment concerns to appropriate entities.
* Ensures all equipment, where required, is inspected by bio-med or informational technology as required.
* Monitors aging of equipment and useful life, and creates capital budget requests to address aging equipment.
* Ability to operate company commercial trucks and other vehicles to pick up or deliver equipment.
Education and Experience
* High School Diploma or equivalent (GED) required.
* 2 years of office experience required.
* 6 months experience in a hospital or health care setting as a Supply Aide or other position which coordinates the supply of materials and maintains adequate supply levels.
* 2 years of experience operating commercial vehicles preferred.
* Must possess a valid Class B CDL in the State of Maryland, or have the ability to obtain within 6 months of employment, and complete all other requirements to drive UMMS vehicles.
Knowledge, Skills and Abilities
* Knowledge of office practices such as alpha and numeric filing and maintaining records of purchase orders, invoices, or other significant documents.
* Knowledge of medical supplies and terminology.
* Ability to perform basic word processing and data entry using a computerized materials management system.
* Effective verbal and written communication skills are required to work with diversified people internally and outside the hospital.
* Ability to demonstrate knowledge and skills necessary to provide care appropriate to the patient population(s) served.
* Ability to demonstrate knowledge of the principles of growth and development over the life span and ability to assess data reflective of the patient's requirements relative to his or her population-specific and age specific needs.
Patient Safety
Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives.
* Takes action to correct observed risks to patient safety.
* Reports adverse events and near misses to appropriate management authority.
* Identifies possible risks in processes, procedures, devices and communicates the same to those in charge.
