Physical Requirements: Occasional lifting/pushing/pulling objects up to 50 pounds; standing/walking on campus and occasionally with objects up to 25 pounds; and sitting at computer workstation for extended periods.
Shift: Monday–Friday during normal business hours (Typically 8:00am – 5:00pm); and occasional night/weekend for special events.
Job Summary: We are seeking a dedicated and organized individual to join our team as an Administrative Assistant for the University Band Office. In this role, you will play a crucial part in supporting the day-to-day operations of our vibrant and dynamic band program 80% of the time, while also providing ongoing assistance to our orchestral program 20% of the time. You will be responsible for a wide range of administrative tasks, financial duties, and general office management to ensure the smooth functioning of our programs.
Key Responsibilities:
• serve as the main administrator for major band events, including festivals, symposiums, and honor band festivals
• manage event logistics such as registrations, payments, communication with stakeholders, and coordination of supplies
• update room reservations, book facilities, and arrange transportation as needed for rehearsals, sectionals, and trips
• oversee office operations including answering emails and phone calls, maintaining supplies, and supervising student workers
• manage social media accounts and website updates to promote programs and events
• assist with financial tasks such as budget oversight, payment processing, and reconciling monthly ledgers
• coordinate travel arrangements for directors, students, and ensembles for events and trips
• assist with special projects, recruitment efforts, and promotional activities to support the growth of our programs

Skills / Knowledge / Abilities: Strong organizational skills with attention to detail and ability to multitask effectively.
Excellent communication and interpersonal skills, with the ability to interact professionally with diverse groups of people.
Proficiency in Microsoft Office Suite and familiarity with database management systems.
Ability to work independently as well as part of a collaborative team environment.
Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
Computer literate; Excel training and/or familiarity. Does this position have supervisory responsibilities? : No
Preferred Education/Experience: Bachelor's degree in a related field or equivalent work experience. Previous administrative experience in an educational or arts-related setting preferred.
