Staff Assistant II - Weber County Location Ogden, UT : Overview: Under close supervision of the assigned Utah State University (USU) Extension faculty and the lead office specialist, performs a variety of routine and specialized clerical work requiring skills in verbal and written communication, public relations, and organization. The position requires being a part of an office team that strives to accomplish the mission of USU Extension, which is to provide applied research-based information to the public. Responsibilities: Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, scheduling, and other general duties as assigned. Most of this work will be during business hours, however, some evenings and weekend work may be required. Provides administrative support, including scheduling events and activities, coordinating meetings/conferences, and sending newsletters and other email correspondence on behalf of the 4-H program. Greets visitors, handles their inquiries and directs them to the appropriate persons according to their needs. Sorts, screens, and distributes incoming and outgoing mail as needed. Composes and word-processes various standard documents, correspondence, and reports as well as taking minutes at meetings as requested. Update website content. Manage Weber County 4-H website Add all 4-H events to the University calendar Maintain 4-H Facebook page and other social media, as requested Uses programs such as Zsuite, FairEntry, Microsoft Word, Excel, Publisher, Powerpoint, and Canva to create flyers and other marketing materials. Receives and processes 4-H enrollments; establishes and maintains an office filing system; enters and retrieves data relating to mailing lists, labels, and 4-H reporting data; maintains records, files, indexes, databases, etc. Assists in organizing new 4-H groups by recruiting leaders to sign up through Zsuite enrollment system, ordering 4-H materials, distributing material to leaders and clubs, printing letters and materials, etc. to ensure cooperative county-wide 4-H development; performs a variety of tasks related to 4-H participation for the county fair, teen retreats, stock shows, horse shows, contests, fundraisers, awards programs, workshops, etc. May provide non-business-related support for departmental programs and projects. Compiles research data, and prepares papers for consideration and presentation. Reports maintenance needs of office equipment or other building needs as needed. Maintain budget spreadsheets and reconcile monthly with University reports. Assist with purchasing supplies for programming. Fill out and submit USU forms and documentation as required for financial responsibilities, travel, and other forms as needed. Assist with travel authorization and reimbursement for 4-H staff or volunteers, as needed. Responsible for proper cash handling, ensuring deposits into proper checking accounts within a timely manner, and managing payments/reimbursements for 4-H-related expenses. Organize and store receipts and other documents per policy guidelines. Performs miscellaneous job-related duties as assigned. Qualifications: Minimum Qualifications: Two years of experience in an office setting or an associate degree/vocational training - work experience must be appropriate to the position to be filled. An equivalent combination of education and experience may be considered. Must be able to pass a Utah Background Check. Ability to travel within the county required - Must possess a valid Utah driver's license and insured automobile or access to transportation. Those selected for the interview will be required to demonstrate selected office skills as part of the interview process. Preferred Qualifications: Some knowledge of the purpose and goals of 4-H Youth Development programs. Some knowledge of the mission and purpose of the Cooperative Extension System. Education/experience in social media for business purposes. Experience with evaluation, website management, and event management programs. Ability to speak basic conversational Spanish. Knowledge, Skills, and Abilities: Very detail-oriented with strong editing and proofreading skills. Proficiency in Word, Excel, PowerPoint, Publisher, Canva, and related programs. Working knowledge of modern office practices and procedures. Interest in 4-H youth programs. Ability to perform a variety of clerical work requiring some exercise of independent judgment. Ability to multitask and set priorities. Ability to follow written and verbal instructions. Ability to establish and maintain effective working relationships and communications, including stressful situations, with employees, other departments, 4-H youth, parents and volunteers, and the general public.
