This role is expected to serve in two capacities, devoting roughly equal time and effort to each: managing and overseeing a research program under the direction of a senior investigator; and overseeing the administrative assistants at the VBRI under the Director for Research Strategy and Initiatives. In each capacity this person will work independently to manage and oversee day-to-day activities of the area in question. This includes providing direction and guidance to each team member to facilitate the achievement of team goals as determined with the senior investigator and/or Director for Research Strategy and Initiatives. The person in this role will support external funding such as National Institutes of Health (NIH) Research, Program and Trainee grants, consortium partnerships, and private gifts. This position works closely with divisions across the VBRI including Grants & Contracts, Finance and Human Resources. This person will occupy a position of confidence and will be expected to think strategically and to contribute to the design and maintenance of the administrative infrastructure of the VBRI.
•Program Administration * Directs and leads development of scientific program/project strategic plan. * Oversees & ensures that day-to-day operations are appropriately managed, efficient, and effective. * Operationalizes goals & objectives; ensures that resources are created or obtained. Oversees data analysis & recommends & implements changes & improvement to better ensure attainment of mission. •Administrative Team Leadership * Directly supervises Administrative Coordinators and Senior Administrative Assistants including their training and development * Oversees & ensures that day-to-day administrative operations are appropriately managed, efficient, and effective. •Strategic Planning * Under direction of senior investigator, develops and implements a comprehensive, visionary program/project strategy designed to continually grow and improve program and build internal/external engagement. * Provides guidance and support to staff in the creation of program/project components. * Develops plan to enhance all aspects of administrative support required for VBRI investigators •Communication, Outreach & Recruitment * Builds and maintains collaborative relationships with internal and external stakeholders to increase profile, reputation, visibility, and support of program and VBRI as a whole. * Creates plan to drive awareness of program/project in appropriate markets. * Partners with academia and organizations, including the NIH, to continue to innovate & enhance program/project. * Builds relationships with appropriate communities & organizations that will result in program/project enhancement. * Oversees marketing of new and current programs/projects. * Serves as thought leader for internal VBRI communications. * Oversees staff recruitment to current programs, projects and VBRI Admin Team. •Faculty Support * Reviews policies, recommends changes, ensures consistent interpretation & implementation. * Oversees all aspects of faculty administrative tasks (colloquium, seminar, travel, annual report, etc.) ensuring optimal faculty support. •Grants and Contracts * Prepares in collaboration with Program Director, annual NIH Research Performance Progress Reports (RPPR). * Creates data for use in grant submission. * Prepares and writes program applications (Program Projects, K12, T32 applications etc.) •Program Development * Determines goals, objectives, outcome measurements and metrics, financial feasibility, marketing strategies and collaboration opportunities with other internal and external organizations. * Oversees the ongoing development and refinement of the program's/project's current and future curriculum and course offerings in consultation with subject matter experts. * Provides leadership for planning, scheduling, delivering and maintaining program(s)/project(s) to sustain quality instruction in all educational activity. * Directs actions to consistently high-quality standards across all partner programs, including admissions, teaching, grading, service levels, and facilities. •Events * Develops, plans & implements strategies, goals & approach for programs & events. * Oversees creation of events designed to implement program/project objectives. * Collaborates with internal/external partners to ensure that events are implemented and meet or exceed planned goals. Leads Admin Team in planning and executing VBRI-wide events such as Symposia, Educational Series, Scientific Advisory Board, Research Retreat, etc. •Programmatic Evaluation * Oversees development & implementation of evaluation processes, quantitative & qualitative measurements that ensure that program/project benchmarks are successfully attained and communicated in a timely and efficient manner. * Manages evaluation processes; recommends & implements changes for enhancement; monitors effectiveness through follow-up evaluation studies. * Assesses programming and recommends changes that will innovate and invigorate programs including cutting edge developments in the field and changes to better meet external partners' needs to achieve goals. Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification Understands and performs in accordance with all applicable regulatory and compliance requirements Complies with all standard operating policies and procedures Education Bachelor's Degree in Business, Biological Sciences, Healthcare, or related required Master's Degree preferred Experience 2 or more years of Leadership or Supervisory experience required 5-7 years program/project administration or related experience required Previous experience with NIH grant funding and/or in a biomedical research environment required Previous experience in a highly collaborative environment required Knowledge, Skills and Abilities Ability to manage and prioritize multiple projects and competing deadlines required Strong leadership skills required Strong communication & presentation skills required Grant and manuscript writing skills required Tools and Technology Personal Computer (desktop, laptop, tablet) preferred General office equipment (computer, printer, copy machine) preferred Microsoft Suite (Word, Excel, PowerPoint) required Adobe Acrobat, PubMed, EndNote, Prism required
