POSITION DESCRIPTION: Performs secretarial, clerical, and administrative functions. Processes and revises responses to building prints, Fire Marshall reports, facilities inspections, contractor requests for information, routine, correspondence, mass mailings and other documents as needed using Microsoft Word, Excel, Outlook, and SharePoint. Coordinates with and obtains information from on contractor performance and provides this information to the Facilities Manager. Coordinates and processes information of State Safety Office on each of District One's buildings in accordance with the Loss Prevention Manual.
Assists with scheduling meetings utilizing Outlook calendar, including reserving meeting rooms as needed. Operates a variety of standard office equipment such as fax, copiers, scanners, and computers. Prepares, organizes, and distributes materials including mail, supplies and other office equipment. Answers and routes incoming telephone calls, takes messages, and answers general questions. Greets contractors, consultants, internal staff, and other guests and directs them to the appropriate personnel. Assists the Facilities Operations Office Manager when required.
Obtains quotes for purchasing items and makes purchases using the Purchasing Card (P-card) and other payment methods. Processes purchasing card charges in Works according to procedure. Prepares invoice packages for reconciliation and electronic document storage. Processes Central Supply orders for Facilities Management. Prepares travel requests/reimbursements in accordance with policies and procedures, makes hotel reservations for staff using the Purchasing Card (P-Card).
Perform a variety of receptionist duties to include assisting visitors coming to or calling Department of Transportation (DOT) facilities, while also controlling access into DOT buildings as a security measure. Duties include greeting visitors, issuing visitor badges, and allowing access into facilities according to established security guidelines. Direct visitors to meeting locations within Department facilities or contact meeting organizers to escort attendees to meetings within secured areas of the facility. Maintain accurate visitor logs and inventories of visitor badges. Maintain desk procedures that cover security measures in place to control building access, receptionist, and switchboard duties. Serves as back-up to the full time Switch-board Operator.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of general office procedures and practices; Knowledge of the techniques for effectively dealing with people. Knowledge of correct grammar usage; Knowledge of the techniques for effective communication; Skill in providing customer service; Skill in determining priority for numerous phone calls; Skill in use of office equipment; Skill in using a personal computer (PC) and Microsoft Office Application Programs; Ability to understand and apply applicable rules, regulations, policies and procedures; Ability to access, input and retrieve information from a computer database; Ability to follow instructions; Ability to establish and maintain effective working relationships with others; Ability to review data for accuracy and completeness. Knowledge of business telephone etiquette.
OTHER JOB RELATED REQUIREMENTS: Employee will be responsible to be responsive to emergency situations with in a very short time frame and serves on the Transportation Emergency Management Team.
MINIMUM QUALIFICATIONS: A high school diploma or its equivalent and two years of secretarial or clerical work experience College education from an accredited institution can substitute for one year of the required work experience.
