Job Summary Under the direction of General Services Coordinator, the Secretary is responsible for the provision of administrative and clerical support services in support of the department operations.
Essential Job Functions Assists staff, public and other departments in furnishing information to resolve problems. Answers telephone and handles in-person inquiries, service requests, complains and or directs to appropriate person. Helps the department in a courteous and efficient manner while also handling unusual or difficult situations. Schedules appointments for staff as required as well as Facility Inspections for new businesses in existing buildings. Receives and processes citizen complaints on weedy lots, restaurants, mosquito problems, etc. Assists with tracking pending departments issues and pending deadlines. Produces quality correspondence and other routine documents, memos, vouchers, requisitions, bid documents and contract documents. Relays traffic for animal control officers. Reviews and inputs applications for building permits. Performs other similar or related duties as assigned. Maintain regular and prompt attendance, physically present to work. Employee may be required to work beyond normal business hours at night and/or on weekends. Minimum Qualifications & Requirements Must have High School diploma; or equivalent (GED). Three to five (3-5) years of related work experience to perform such job. Valid Class "C" Texas Driver License and be insurable. Applicant must pass pre-employment criminal background check and drug screen at City's expense. Must successfully complete Emergency Management and Incident Command Training within first three months of hire date. Bilingual English/Spanish preferred. Knowledge, Skills & Abilities Knowledge of office procedures and machines. Some knowledge of City Government, departmental operations, and relationships with other City departments. Working knowledge of local land development ordinances including zoning, parking and signage would be helpful. Communicate clearly and concisely, both orally and in writing; understand and carry out oral and written instructions. Ability to maintain, manage and organize records with highly sensitive and confidential information. Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work. Working Conditions/Physical Demands Work involves sitting to perform work tasks, with intermittent periods of stooping, walking, and standing. Occasionally lifting, moving, or positioning objects up to 30lbs. Visual demands include constantly reading documents for general understanding. Works in a well-lighted office setting with heating and cooling air conditioning.
