Sales & Marketing Administrative Assistant Location Orlando, FL (Florida Center area) : SUMMARY The Event Coordinator is an essential member of the events department and is responsible for overseeing the event planning process.
ESSENTIAL DUTIES AND RESPONSIBILITIES Understand the event booking process. Organizing all orders prior to the event. Ensure all deposits or payments have been received, and all necessary information is provided. Ensure customer data and profiles are accurate in Reserve. Log all correspondence between guests and sales team to ensure all communication is forwarded to the proper channels. Ensures on-site management team always has current event orders. Communicate any changes and final numbers with appropriate departments. Creating registration reports. Process documents and reports related to events. Managing attendee questions via phone and email. Correspond with customers in a timely fashion. Attending update meetings. Resolve customer concerns expeditiously and independently. Provide administrative support to the Sales department including follow up calls/emails/tasks, communicating to team any changes to event orders or updated signed contracts. Must understand all current Dezerland attractions, promotions, and pricing. Monitor ongoing event correspondence in Reserve. Schedule appointments and maintain calendars as needed. Schedule and coordinate meetings. Write and edit communications, from letters to reports and instructional documents. Assist with diverse projects and provide general administrative support. Handle requests for information and data Prepare written responses to routine inquiries. Prepare and modify documents including correspondence, reports, drafts, memos, and emails. Record, compile, transcribe and distribute minutes of meetings. EDUCATION / EXPERIENCE The requirements listed below are representative of the knowledge, skill, and/or ability required. High School diploma or general education degree. Strong Microsoft Office skills and brochure applications. Possess excellent organizational skills and attention to detail. REQUIREMENTS Physical demands While performing the duties of this job, the team member is frequently required to sit, stand, walk, talk, and hear. Must be available to work days, nights and/or weekends as required. Troubleshooting skills to be able to follow a problem to the source and solve the issue. Communication Excellent communication skills both verbal and written. Must read, write, and speak the English language fluently.
