General Summary of the PositionThe Sacraments Manager at St. Francis of Assisi Catholic Church requires a hard-working, flexible, joy-filled, and passionate individual. The Sacraments Team's main objective is to ensure that every family, couple, and individual who seeks and receives the sacraments of matrimony or baptism, or a funeral or Quinceanera at St. Francis of Assisi has an exemplary experience from the moment of the initial inquiry to the completion of the liturgy. In addition, the Sacraments Manager role is to journey with each family, couple or individual to help deepen their faith in Christ and identify opportunities to continue growing in the faith and engage with St. Francis of Assisi after their liturgy is completed. This position will also supervise the Sacraments Coordinator and determines specific responsibilities for the Coordinator, including managing work flow based on the needs at any given time.The ideal professional in this role understands the importance of hospitality as well as how to meet the needs of individuals and families during these important and often challenging milestones in their lives. The ideal candidate understands the rules and requirements for sacraments and liturgies and is able to understand how to accommodate individual circumstances as necessary and appropriate. The Sacraments Manager understands the value and need for volunteers, such as Funeral Volunteers, Wedding Day Facilitators, and office volunteers and how to train and invest in volunteers to enhance the vitality and success of the team. This person should be a self-starter, with a servant's heart and passionate about their Catholic faith who enjoys working in a collaborative team environment and is excited to join a growing Catholic community with a vibrant culture and innovative community. The ideal candidate shares duties with the Sacraments Coordinator, works as a collaborative team as well. This role will require a firm understanding of our Parish's vision and values.Essential Duties and Responsibilities of the PositionWeddings and Convalidations:Meets with all couples to help plan appropriate marriage preparation program for their journey towards the Sacrament of Holy Matrimony.Responds to all couples timely (i.e., responds to all requests for as quickly as possible, i.e. within 48 hours).Assists couples to obtain Baptism certificates, Affidavits of Free Status and/or any other documents necessary for their prenuptial file.Coordinates with the Diocese of Dallas Tribunal, and the Diocese of Fort Worth Tribunal and other relevant dioceses as needed.Responsible for ensuring the scheduling of all clergy for pre-wedding meetings with couples as well as the wedding ceremony. Responsible for communicating and collaborating with all clergy prior to each wedding to answer any questions or concerns.Responsible for collaborating with other Liturgy team members to ensure no scheduling conflicts arise with weddings and other liturgies in Sacred Spaces as well as other meeting spaces on campus (i.e., receptions in the Great Hall.)As necessary, collaborates with the Pastor's scheduling team member to schedule and coordinate a priest/deacon for the wedding ceremony.Oversees the process of working with each couple to prepare the wedding readings, assist in the music selection and details of the wedding ceremony.Collaborates with the Music Director to plan well in advance to ensure the couple's music (including style of music, musicians, etc.) is selected well in advance (at least 60 days prior to the wedding date).Assists the wedding day facilitator to ensure they are properly informed of all pertinent details for each couples' wedding.Responsible for tracking all payments/stipends received and disbursed (i.e. the celebrants, musicians, etc.) as necessary.Ensures that a process is in place for timely receipt of payments for music director/musician, wedding coordinator, celebrants' stipends, etc. Is responsible for making sure stipends are paid on time and accurately to all recipients.Responsible for scheduling, registration, and communication of all details for the marriage preparation workshops; approximately two times per year as determined by demand.Annulments: collaborates with Director of RCIA for all annulment needs; also collaborates and communicates with the Diocesan Tribunal as needed.Responsible for ensuring adequate number of Wedding Day Facilitators are recruited and trained (English and Spanish). Also responsible for planning and implementing ideas to support and invest in Wedding Day Facilitators as valued volunteers.Ensures all records, including Wedding Certificates are filed with the proper county in a timely fashion. Also responsible to ensure that the bride's and groom's original baptismal certificate is updated as necessary.Responsible for notifying couples' church of baptism that wedding has taken place.Responsible for developing appropriate and professional materials for all couples to communicate all relevant wedding information.Responsible for providing (including printing) Worship Aids (programs) for weddings, including providing a 'proof' to the wedding couple in advance for their approval.Responsible for researching other parishes' wedding practices periodically to determine best practices and new ideas.Responsible for maintaining organized records of weddings in progress and responding to all inquiries in a timely manner, with professionalism and hospitality.Funerals:Responsible for meeting with families and understanding the sensitive circumstances they are experiencing.Greets all families timely (i.e., responds to all requests for a funeral as quickly as possible, i.e. within 48 hours), with compassion and empathy.Oversees the planning of the liturgy, produces and prints Presider's Books and worship aids accurately, and schedules ministers (i.e., deacon or priest) and musicians as needed.Ensures that a process is in place for the timely receipt of payments for music director/musician, celebrants' stipends, etc. Is responsible for making sure stipends are paid on time and accurately to all recipients.Oversees the funeral volunteers and ensure they are given proper communication, guidance, support, formation, and resources. Responsible for recruiting new volunteers as needed.Responsible reserving space in Sacred Space and Great Hall (i.e., receptions) as necessary through the parish scheduling software (eSpace).Responsible for researching other parishes' funeral practices periodically to determine best practices and new ideas.Responsible for maintaining organized records of funerals in progress and responding to all inquiries in a timely manner, with professionalism and hospitality.Responsible for overseeing Funeral Volunteer Team; recruiting new volunteers as necessary. Also responsible for investing in volunteers; providing resources such as spiritual guidance (i.e. periodic retreats), training, etc.Quinceaneras:Meets with all families to help plan, including spiritual preparation, their daughter's (family member's) celebration of the Quinceanera.Responsible for ensuring the scheduling of all clergy for Quinceanera with families.Responsible for collaborating with other Worship team members to ensure no scheduling conflicts arise with Quinceanera and other liturgies in Sacred Spaces as well as other meeting spaces on campus (i.e., receptions in the Great Hall.)Assists the Quinceanera coordinator to ensure they are properly informed of all pertinent details for each Quinceanera.Ensures that a process is in place for timely receipt of payments for music director/musician, Quinceanera coordinator, celebrants' stipends, etc. Is responsible for making sure stipends are paid on time and accurately to all recipients.Responsible for scheduling, registration, and communication of all details for the Quinceanera preparation.Responsible for creating a process and opportunities for families to engage with their faith and St. Francis post-Quinceanera.Responsible for tracking all payments received and disbursed (i.e. the celebrants, musicians, etc.) as necessary.Encourage that each young woman participating in the Quinceanera is also participating in a valid Youth Ministry or Faith Formation program.Responsible for maintaining organized records of Quinceaneras in progress and responding to all inquiries in a timely manner, with professionalism and hospitality.Baptisms:Oversees Sacraments Coordinator as the primary lead for Infant Baptisms. Ensures baptism program and process is successful and supported.Responsible for being cross-trained to understand the process for Infant Baptisms and is able to support as needed such as vacations, illness, etc.Work with Sacraments Coordinator to recruit volunteers for Spanish and English baptisms to assist deacons during the celebration of the sacrament.Position RequirementsKnowledge, Skills and Abilities:Possess a servant-leadership mindset.Committed to building a team and workplace that is positive, healthy, friendly and joyful.Maintains a positive, upbeat, self-starting, solutions-centered, can-do attitude.A strong understanding of the importance of the parishioners and the community served by St. Francis of Assisi.Ability to thrive with minimal supervision and is adept at problem solving.Possess the ability to easily interact and relate with a wide assortment of personality types.Has the ability to listen carefully and take direction well.Must be able to take direction from Pastor and Senior Director of Operations.Must be able to manage Sacraments Coordinator in a manner that is positive, collaborative, respectful and professional.Must possess a truly authentic caring, nurturing spirit and personality.Must possess a passion for evangelization and a tireless desire to spread the Gospel to current parishioners and non-parishioners with a desire to begin a faith journey.Ability to manage time and prioritize accordingly.Must be a Catholic in good standing.Must be an excellent project manager.Must be capable of building strong relationships with parishioners/volunteers and organizing volunteers to fulfill specific needs of the Parish campus and facilities.The nature of this position requires a highly flexible schedule comprised of day, evening, and weekend hours.Must support the vision and strategic direction of the Pastor.Education and Experience:Bachelors' degree preferred.Bilingual (Spanish) reading, writing, strongly preferred.
