Job Description The purpose of this job is to oversee and manage the Pilot Flying J (PFJ) 401(k), RRSP and non-qualified deferred compensation (NQDC) retirement plans. Also included in this role is oversight of compliance, resolution of complex issues and delivering an excellent Team Member experience.
Conduct detailed audits to ensure that retirement plans are consistently administered and in compliance with Plan documents, internal audit and security requirements, service level agreements and relevant government regulations Liaise with ERISA attorney, consultants and brokers to assist with renewals, plan management and escalated issues Lead efforts to examine retirement plan design strategies by working with applicable vendors to review benchmarking data and industry best practices Continuously work to identify and implement process improvements Assist and develop strong team member education campaigns Communicate with plan participants, handling escalated issues and providing support to team members Respond to inquiries regarding technical, compliance and product questions by researching and resolving complex issues, partnering with the benefits team, IT business partners, ERISA attorney, and others Lead the coordination of the annual ADP/ACP testing and gathering indicative and financial data as required to allow completion of the annual audit and form 5500 filing Responsible for the accuracy of participant eligibility, loans, and deductions. Coordinate plan amendment requests to ensure proper documentation is on file for plan compliance Liaison for retirement plan merger and acquisition work including adopting necessary resolutions and plan amendments by partnering with several different internal and external business entities Maintain and update data for plans and participants in the record- keeping system Responsible for the preparation and execution of benefits documentation with legal consultation (e.g., original and amended plan documents, amendments and other legal document requirements) Maintain detailed records of Executive Planning Committee meetings by creating meeting minutes and coordinating with Pilot's investment advisor Build and maintain strong relationships with retirement plan vendors and advisors to ensure smooth plan administration and process improvements. Model behaviors that support the company's common purpose; ensure guests and team members are supported at the highest level Ensure all activities are in compliance with rules, regulations, policies and procedures Complete other duties as assigned Qualifications Bachelor's degree or equivalent in business, human resources or equivalent work experience required Minimum two years' related experience required; three to five years' experience preferred In-depth knowledge of retirement plan administration and regulations Financial acumen and familiarity with financial terminology and investment vehicles offered on qualified and non-qualified plans Intermediate Microsoft Office skills and advanced Excel skills required Experience using HRIS systems preferred Excellent written, verbal and listening communication skills, including the ability to communicate effectively with vendors, plan participants and senior leaders Excellent analytical, critical and strategic thinking, and problem-solving skills with the ability to use data for decision-making Ability to plan, organize and manage multiple projects to meet goals and initiatives within deadlines Strong attention to detail and the ability to regularly handle confidential and sensitive information with appropriate discretion Ability to drive results and exhibit strong follow-up skills Ability to take initiative and work independently Ability to influence, cultivate and build relationships Additional Information #LI-CL1
