Working/Functional Title Reservation Agent- Kellogg Center
Position Summary Negotiates room rates with potential customers within assigned parameters in order to maximize revenues while maintaining high room sales levels, using optimal interpersonal skills and selling techniques. Reviews rooming lists, room availability reports and related information; forecasts reservations made and rooms sold; and blocks, books and overbooks rooms and room blocks; using independent judgement within established parameters. Determines appropriate billing methods, establishes guest accounts, verifies pick-up and charge-routing, and enters data into hotel accounting system. Processes travel agent reports and commissions. Prepares, prints, reviews, interprets and verifies the accuracy of "expected arrivals", reservation and related hotel reports and information. Maintains reservation and related files. Updates price lists, room availability lists and related information as scheduled or directed. Reconciles and processes payments and financial and operational information between multiple on-line and/or hard copy information systems. Inform appropriate hotel staff of oversold and over-blocked dates, special events, and other information needed to provide optimal hotel customer services. Assists with training and orientation of student and regular staff. Conducts phone surveys, reviews written materials and performs other information searches as assigned in order to gather and utilize information about competition and market conditions. Perform the duties of front desk, other hotel staff, and related clerical responsibilities as directed or necessary.
Interacts with: Hotel Customers and Potential Customers - in order to explain and negotiate prices, services and related hotel offerings; answer questions, and provide guest services. Hotel Staff - in order to coordinate guest service needs, inform about potential and current service requirements, and exchange information. Designated Supervisor - in order to receive direction and exchange information about reservation operations. Coworkers - in order to coordinate reservation services, and provide and receive training. May act as a lead worker over student employees.
All positions in SLE are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, you will be expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If you have an approved remote work agreement to work a portion of your normally scheduled work hours remotely, you may be called upon to work on-site to serve the MSU community. Unit Specific Education/Experience/Skills Knowledge normally acquired through completion of a high school education; one to three years of related and progressively more responsible or expansive work experience in hotel reservations; to include experience with computerized hotel accounting and reservation systems, negotiation of room and block rates, preparation of standard hotel reports, direct customer service; or an equivalent combination of education and experience.
Desired Qualifications May require valid vehicle operator's license where needed to perform duties of the position. Other skills and/or physical abilities required to perform duties of the position. This position requires, or will require prior to the completion of the probationary period: knowledge of basic personal computer terminology and operations, and the ability to use e-mail and the Internet.
