Climate and Space Sciences and Engineering (CLaSP) offers educational programs in atmospheric and climate physics and chemistry, and on the interactions with both the surface (biosphere, oceans, cryosphere) and upper atmosphere (thermosphere and ionosphere). The department's research spans atmospheric and climate sciences, ionospheric and magnetospheric research, planetary sciences, and Solar and heliospheric sciences. Climate & Space is one of the few places in which students can participate in world-class engineering work on NASA space missions. Our researchers lead space-based Earth science missions; develop space weather modeling used not only for research and education, but also for NOAA operational space weather forecasts; and reach out to study the environments of planets in the outer Solar System and beyond.

The department is looking for an experienced customer service oriented professional to serve as Research Administration Manager. You will provide oversight, management, and content expertise for research administration operations and pre-post award activities for faculty within Climate and Space Sciences and Engineering. You will work directly with the Department Administrator, the Finance Manager and partner with the Associate Chair for Research. The Research Administration Manager must be able to partner with colleagues at all levels.
Salary based on experience and this job is classed as FLEX under the Michigan Engineering Telecommuting policy .
Research Administration: 35% Advise the Principal Investigator on the most effective way to achieve a quality proposal and coordinate the submission process, ensuring appropriate approvals. Develop project timelines based on proposal requirements; submit requests for no-cost extensions or other extensions; manage proposal submission process. Ensure compliance/oversight by managing budgets and spending, approving capital equipment requisitions, and providing guidance and counsel for the stewardship of sponsored research funds. Maintain appropriate communications with faculty, administrators, ORSP and Sponsored Programs. Interpret guidelines of internal and external funding. Responsible for coordinating and independently managing the administrative research process, by assisting with the creation of complex proposals, including locating relevant materials, formatting and editing, providing assistance with the preparation of multi-year budgets, preparing and assisting with budget justifications, coordinating with internal and external entities, and ensuring routing of proposals through the institutional approval process. Post-award activities are financial in nature and will include independently projecting and updating encumbrances, faculty portfolio analysis, preparing and reviewing financial transactions, and monitoring appropriateness for grant funding and allowability. May compile complex financial information on such matters as journal entries, vouchers, and standard transactions such as expenditures for materials, equipment, support staff and travel. Resolve mid-size compliance-related issues and work with management on larger issues, act as a resource for other staff Advise faculty on best practices for post-award management, including assistance with budgeting, report preparation, and renewals/extension paperwork Supervision: 50% Manage the daily operations of a team of research administrative professionals; ensure consistency in service delivery, procedures, compliance, and communication. Ensure compliance/oversight by overseeing budgets and spending and providing guidance and counsel for the stewardship of sponsored research funds. Ensure the team follows established procedures and compliance with sponsor guidelines. In consult with the Department Administrator, interview, hire, and train employees; plan, assign, and direct work; conduct performance appraisals; mentor ongoing professional development; establish back-up cross-training; support diversity, equity, and inclusion (DEI) efforts. Participate in encouraging effective and integrated connections, workflows, activities, and communications between teams and stakeholders. Engage and advocate in professional development activities related to position responsibilities and advancement of the team. Other Administrative Activities: 15% Work directly with the Department Lead team to set policy and procedures consistent with department, college and university best practice. Manage process improvement efforts for research administration in collaboration with the Department Lead team. Coordinate with the department Finance Manager and Department Administrator to oversee research financials.
Bachelor degree or equivalent combination of education and work experience, typically with five years or more of progressively responsible experience in research administration, preferably in an academic setting. Must include significant direct experience with pre-award activities. Minimum of three years of supervisory experience and all related personnel management aspects required. Experience with federal funding agencies and contract administration. Interpret and apply policies including Uniform Guidance, budgeting restrictions and sponsored research policies. Applies advanced knowledge of independently managing the pre-award or post-award process. Progressive knowledge of Excel and other Office products, comfort with changing technology. Develop and implement procedures, map workflows, and document processes. Demonstrates ability to work independently and as part of a team, ability to be a mentor to other team members. Collaborate with co-workers and work with a diverse group of customers providing excellent customer service. Attention to detail, follows work through to completion, and meet high work standards. Demonstrates ability to work under pressure of deadlines, set priorities, and manage competing deadlines. Certified Research Administrator (CRA). Experience in higher education. Knowledge of University policies and procedures. Experience with databases, query management tools and University systems, such as Business Objects, M-Reports, Concur, and other M-Pathways systems. Experience with eResearch electronic PAF and proposal submission. Prior experience contributing to the development of others through mentoring.
