Repair Planner Job Description Position Summary The Repair Planner position at Swift Recon involves overseeing the repair process for vehicles, from the tear down phase through completion. The Repair Planner will ensure that the repair process is carried out correctly and efficiently, while maintaining high standards of quality.
Position Duties and Responsibilities Review estimates created by the estimating team and verify the correct repair steps are assigned to each vehicle. Submit estimates for approval through the client requested format. (Example: email, integral, or back office). Upload all photo estimate requests received from the Back Office to both the estimating software and body shop software and indicate that an estimate is required for each vehicle in the correct repair step. All completed photo estimate requests must be reviewed and submitted through Back Office. Maintain open communication with clients throughout the repair process, providing frequent updates. Obtain prompt approval for the estimate from the client and provide follow-up within 24 hours. Responsible for monitoring the client portal to confirm if the estimates have been approved. Following the approval of the estimate, the repair planner is responsible for reviewing the estimate, inputting sublet invoices into the body shop management software, and coordinating sublet work. Collaborate with the Parts Department to order requested parts in a timely manner and update expected parts arrival dates. Inform the designated Estimator of any updates or issues with the parts order, so they can update the estimate accordingly. Conduct daily audits of all assigned vehicles, including detail notes within the folder noting their stage in the repair process and following up on any errors. Manage each vehicle repair throughout the process by performing in-process quality control and report defects to assigned estimator. Return any unused parts from the purchase order, notify assigned Estimator of change, then transfer un-used parts to the Parts Department for vendor return. Notify the assigned estimator of any supplements needed and manage the changes and update the customer. (Example: Additional damage found). Consistently meet or exceed expectations, prioritizing critical work in order to achieve targeted goals. Make informed decisions by analyzing situations to find timely solutions. Maintain a strong focus on clients and continuously strive to improve services, proactively addressing client concerns and requests. Work closely with Estimators to identify stagnation in the repair process and find solutions to overcome any obstacles. Pre-close the final repair order and submit it to the estimating department for final review and closure. Once the vehicle has completed all repairs and has received estimating final approval, handle disbursement paperwork, address any exceptions in the file, and ensure that carrier-specific requirements are completed for billing purposes. Comply with company safety rules, guidelines, and standardized operating procedures. Perform other duties as required to successfully meet the needs and goals of the estimating department and Swift Recon Qualifications: High school diploma or 2 years related experience and/or training. Ability to work in a fast-paced environment. Knowledge of collision repair process Ability to work collaboratively with others to meet shared objectives Proficient with computers and other technology Physical Requirements / Working Conditions: Position is based in a normal shop environment. Daily activity as well as repetitive tasks involving hand and arm motion and lifting objects over 50 pounds. Must be able to push/pull parts, carts, and cars with assistance. Working environment consists of: Exposure to fumes, chemicals, dust, along with high levels of noise. Must have manual dexterity to operate equipment. Subject to climate changes both inside and outside the facility. Must have visual acuity to determine the accuracy and thoroughness of the work assigned.
