Minimum Hiring Annual Salary: $51,580.00 Maximum Hiring Annual Salary: $54,159.00To attain the maximum annual salary, employee must meet all minimum qualifications plus: 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. This position supports the organization through work in a variety of student services areas which may include activities related to registration, records, and graduation. Ensuring compliance with federal, state, and accreditation regulations. Leads records processes, including but not limited to interpretation of graduation requirements for a variety of programs, determining course applicability towards graduation requirements, coordinating with academic units as it related to records tasks and monitoring compliance with regulations throughout the process, and publishing accurate information for students, campus and public view. Assists the Registration & Records leadership team in identifying, developing, and delivering training related to College policy and procedure, federal and state regulations, and registration and records functions. Supports the Registration & Records department with special projects, student information system testing, and interpretation of policies, procedures and other regulations. Registration & Records Support: Provide quality, student-focused service and engage in continuous quality improvement. Work collaboratively with staff and faculty in support of Registration & Records related strategic initiatives. Respond to a variety of questions from students, staff, faculty, administrators and the college community. Resolve student concerns based on applicable policies, procedures and processes as they apply to Registration & Records. Input, update and retrieve information from Student Information Systems. Educate and assist students on the use of Aims web services. Support students through connection, entry, progression and completion of processes. Assist with Registration & Records processing, using critical thinking and problem solving to resolve issues. Refer students to academic advising as necessary. Maintain currency on Registration & Records, and general college student services information by attending meetings, training, and independent research. Academic Records & Transcripts: Assist with processes related to grades and records maintenance to ensure compliance with deadlines and college policy. Uses professional judgement in updating and correcting of all information on the academic transcript. Assist with end-of-term processes including grade roll, academic standing determination, semester honors. Run data integrity reports to ensure accurate date is being entered in the SIS related to academic records. Send appropriate communications to students and departments, and ensure communications are kept current. Create operations manuals for records functions and ensure they are kept current. Assist with processing academic standing and be able to communicate clearly regarding policy as it applies to the individual student situation. Uses professional judgement in navigating the transcript ordering process, including verifying accuracy of records, assisting students, troubleshooting issues, and coordinating with third-party vendor and college information technology staff. Serves as a point of contact for subpoenas related to student academic records and coordinates with the Registrar & Assistant Registrar about these as needed. Graduation Evaluation: Evaluate student academic progress toward the completion of their degrees and/or certificates, and answer inquiries about the process and requirements. Evaluate both in-residence and transferred academic credentials, and determine their applicability to meet program requirements. Process Prior Learning Assessment after approved through Academic Affairs. Communicate appropriately to students and advisors of actions needed in resolving program completion deficiencies such as waivers, substitutions, etc. Interpret and explain graduation requirements for faculty, advisors, students, and staff and communicate an appropriate resolution for unusual circumstances. Accurately record graduation application information into the SIS. Assist with the submission of diploma and certificate information to the third-party vendor. Create operations manuals for graduation processes and ensure they are kept current. Collaborate with Assistant Registrar and Records Coordinator to perform daily operations required for commencement ceremonies. Process reverse transfer data provided by the State of Colorado to determine students who are eligible to be awarded a degree. Assist with the maintenance of curriculum information in the SIS ensuring accuracy of all information. Other Duties as Assigned: Research and resolve concerns with student data. Monitor and ensure compliance with legislative requirements such as FERPA. Serve as a primary contact for the re-design of records related forms. Assist students, faculty, staff, and alumni with all aspects of Registration & Records. Assist with special projects as assigned by the Registrar, Assistant Registrar and Records Coordinator. Assist in testing of the ERP System and any other third party systems associated with the Registration & Records office. Other duties as assigned. Minimum Qualifications: Bachelor's Degree in Higher Education, Business Administration, or related field; plus, Three (3) years of experience in a Registrar, Records, or related office or other related experience or an equivalent combination of education and/or work experience. Working knowledge of student records processes, grading, awarding of degrees, and degree audit systems. Experience with student information systems, Microsoft Office programs. Preferred Qualifications: Five (5) years of experience in a Registrar, Records, or related office. In-depth student records experience including graduation, grading and transcripts.
