Recreation Program Coordinator - Events Location Noblesville, IN : Purpose of Position Incumbent serves a Recreation Program Coordinator - Events for the Parks and Recreation Department, responsible for planning, programming, and facilitating various department programs, camps, and events. Essential Job Functions Supervises and directs assigned personnel, including interviewing applicants, hiring and preparing related paperwork, planning/making work assignments, coordinating cross-training, providing corrective instruction, evaluating performance, and maintaining discipline. Programs, markets, and assists in several different aspects of the Parks and Recreation Department; plans and operates various Park programs, camps, and events; facilitates planning, training, organizing, and implementing daily programs, leagues, and other special events. Serves on outside committees to assist in planning and implementing major special events. Coordinates and manages various events, including securing donations/sponsors, booking bands/movies, working with vendors, preparing news releases/brochures/flyers, communicating with sponsor organization(s), coordinating staffing, supervising part-time/volunteer staff, making parking arrangements, emceeing the event, overseeing set-up /clean-up, and selecting/purchasing prize giveaways within a set budget amount. Assists in assessing citizen needs/ interests, developing long-range plans, and evaluating programs/ activities. Assists in scheduling and coordinating use of park facilities. Promotes the Recreation Division throughout the community by making public speaking presentations, developing brochures/flyers and providing information for news media releases. Represents department at various community activities. Assists in maintaining the recreation software program, including uploading/entering all data and class information, maintaining the software database, generating reports, and identifying/resolving minor problems and contacting service support as needed. Performs a variety of administrative tasks in assisting department personnel, such as answering the phone, assisting customers, taking registrations and reservations, filing and using computer to generate many different types of documents. Receives and investigates public complaints regarding recreation programs and personnel, and initiates appropriate action to resolve valid complaints. Reports findings and makes suggestions to supervisor. Ensures cost effective operations within assigned program and event budgets. Prepares reports on recreation activities as directed by supervisor including program proposals, activity budgets, and evaluations. Assists with setting up and tearing down of events, including tables and chairs, moving equipment as needed, driving utility vehicles, and clean-up. Drives a vehicle to perform job-related errands, such as picking up supplies. Maintains current knowledge of trends and developments in the parks and recreation field by periodically attending seminars/workshops. Job Requirements Bachelor's Degree in Recreation Administration, Education, or other related field and a minimum of three years of related experience, or equivalent combination of education and experience in Parks and Recreation or related field. Possession of or ability to obtain certifications in CPR and First Aid within required time period. Working knowledge of and ability to make practical application of City and OSHA safety policies and procedures. Working knowledge of Standard English grammar, spelling and punctuation, and ability to type with speed and accuracy, perform simple arithmetic calculations, properly operate a variety of standard office equipment, including computer, printer, telephone, copier, scanner, and calculator. Working knowledge of Microsoft Office, including Word, Excel, Outlook, Teams, and SharePoint. Ability to use software to produce brochures and promotional materials, and processing registrations and reservations. Ability to supervise and direct assigned personnel, including interviewing applicants, hiring, making work assignments, evaluating performance, and maintaining discipline. Working knowledge of the City of Noblesville Civilian Employee Personnel Policy Handbook and ability to apply these regulations/ standards to employment. Ability to make public speaking presentations, and effectively communicate orally and in writing with co-workers, other City departments, other recreation organizations, program participants, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities. Working knowledge of universal health precautions and City's Bloodborne Pathogens Control Plan and ability to apply such knowledge on the job to protect oneself from infection. Working knowledge of and ability to make practical application of bookkeeping and accounting principles, ability to perform relevant arithmetic calculations and maintain accurate records. Ability to work alone and with others in a team environment, work rapidly for long periods, and understands and follow written and oral instructions, with minimal supervision and often under time pressure. Ability to work on several tasks at one time and complete assignments effectively amidst frequent distractions and interruptions. Ability to work extended hours, occasionally work evening and /or weekend hours, and occasionally travel out of town for training, sometimes overnight. Possession of a valid Indiana driver's license and a demonstrated safe driving record, and must remain insurable through the City of Noblesville's liability insurance carrier. Work Environment Incumbent maintains frequent contact with co-workers, other City departments, other recreation organizations, program participants and the public for purposes of exchanging information, explaining/interpreting policies and procedures, and coordinating program activities. Reports directly to the Recreation Manager. Incumbent performs duties in a standard office environment, at a service counter, in a recreation facility and outdoors involving sitting and walking at will, lifting/ carrying objects weighing less than 25 pounds, reaching, bending, handling/grasping objects, hearing sounds/ communication, close/far vision and exposure to blood borne pathogens and other infectious materials. Incumbent regularly works extended hours, occasionally works evening and/or weekend hours, and occasionally travels out of town for training, sometimes overnight. Incumbent performs a majority of duties at various parks, occasionally at events in different venues, such as Noblesville downtown square or other venues. Incumbent performs duties outdoors and is occasionally exposed to extreme temperatures and inclement weather. Safety precautions must be followed at all times to avoid injury to self and others. This position is identified as having occupational exposure to blood or other potentially infectious materials. All services provided at the Health and Wellness Clinic are provided at no cost to the employee.
