Job Summary The Records Coordinator is responsible for the coordination of all documents submitted to the Office of Financial Aid. This position is the central point of entry for all student records.
The Coordinator plays a key role in fostering a positive work environment with the expectation of continuous improvement and first-class customer service. The incumbent provides leadership to the Enrollment Management Services Division. Collaborative and team-oriented skills with a commitment to student success and diversity are essential attributes for the individual in this position. Responsibilities Reviews and sorts all documents submitted to Financial Aid according to type and priority to determine if a document is complete and if the student has submitted accurate information; Interprets documents to resolve conflicting information; determines which documents need to be returned to the student; communicates with students where there are incorrect or conflicting documents submitted. Oversees the process of sorting postal mail, email, and faxes. Extracts and indexes documents from NextGen on a daily basis and moves them into BDM; Develops, creates and manages all financial aid forms in NextGen.; creates bit.ly links for necessary NextGen forms. Determines if all transcripts have been reviewed by the Registrar and requests missing transcripts Corrects mismatching names and dates of birth between documentation and student records. Coordinates with the Registrar and Admissions departments to ensure conflicting information is updated in a timely fashion. Downloads and processes all batch files from CPS, COD, and NSLDS; Sends and receives electronic state application and invoice files to GSFC (HOPE, ZELL, Dual Enrollment and Georgia College Completion Grant (GCCG)); Receiving electronic GPA files from GSFC. Reviewing students who are eligible for HOPE and not awarded. Runs processes to include but not limited to invoicing to determine student eligibility. Processes late invoices where appropriate. Reviews outcomes and make corrections. Responsible for creating and maintaining process maps. Shares responsibility with other processors for maintaining departmental records retention information. Serves as a resource for the department on document retention, time period and schedules; Serves as backup for posting external scholarships and other institutional aid; reviews and clears c-flags; sends letters from Campus Communicator and other mail-merged letters as needed; assists with triage and orientation as needed; Performs other duties as assigned.
Required Qualifications High School or GED Preferred Qualifications Four years of experience which includes record keeping, auditing, customer service, or related duties; or an associate degree and two years of experience which includes record keeping, auditing, customer service, or related duties Experience with data management and Banner SCT Knowledge, Skills, & Abilities Skills in verbal and written communications Skills in organizational and time management Ability to interpret, apply and explain complex federal and institutional policies to students, staff, and faculty Ability to manage multiple projects while also staying current with daily/weekly/monthly and annual responsibilities Ability to be reliable and dependable Ability to learn and quickly adapt to university computer systems Conditions of Employment Offers of employment are contingent upon completion of a background investigation including a criminal background check demonstrating your eligibility for employment with Georgia Gwinnett College, as determined by Georgia Gwinnett College in its sole discretion, confirmation of the credentials and employment history reflected in your application materials and, if applicable, a satisfactory credit check.
