ABOUT THE PROSPECT AND DATABASE MANAGER ROLE
Purpose Built Communities seeks a Prospect and Database Manager who will report directly to the Director of Development. Their primary responsibilities will include but not be limited to maintaining and optimizing fundraising systems through database management, identifying prospective funding opportunities and trends, and leveraging data analysis for strategic decision-making and reporting.
RESPONSIBILITIES
Database Management and Oversight:
Providing global oversight of the database system and fundraising portfolios in collaboration with individual fundraisers, ensuring data accuracy and integrity. Overseeing daily gift processing, including various contributions such as cash, checks, credit card charges, securities, pledges, matching gifts, memorials, and in-kind donations;
Managing day-to-day operations of the database, establishing and optimizing workflows and generating reports to track progress;
Conducting regular audits, data clean-ups, and updates to maintain the integrity of the database;
Implementing and standardizing database policies and procedures and conducting staff training sessions;
Keeping abreast of best practices in database management, making recommendations for updates and enhancements as necessary.
Prospect and Donor Analysis:
Identifying and evaluating prospects for fundraising efforts;
Tracking annual giving donor trends, focusing on donor retention, pipeline movement, and building the donor base;
Demonstrate a strong commitment to fundraising objectives and organizational goals;
Actively participate in and support capital and annual fundraising campaigns to achieve fundraising targets;
Conduct a thorough analysis of donor data to extract actionable insights;
Make data-driven recommendations to optimize fundraising strategies and maximize donor contributions;
Utilize data within the database system to develop detailed donor profiles;
Identify key trends and patterns to enhance donor engagement strategies and cultivation efforts;
Assist in the preparation and submission of grant reports using data extracted from the CRM system;
Segmenting prospect and donor data for targeted appeals, email campaigns, events, and special projects, and producing reports to monitor campaign effectiveness;
Generating comprehensive donor portfolios and supervising donor research platforms to facilitate informed decision-making;
Other duties; as assigned.
PREFERRED EXPERIENCE
Strong commitment to the organization's mission and values;
Minimum two years of database management and/or prospect research;
Bachelor's degree in a related field (e.g., Business Administration, Nonprofit Management, Information Systems) or equivalent experience;
Proven experience working with database systems, particularly Salesforce or other software databases, in a fundraising or nonprofit environment;
Previous experience in identifying and evaluating prospects for fundraising efforts, with a focus on donor retention and building the donor base;
Experience in providing guidance and training to staff members on database practices and procedures;
Knowledge of financial processes related to gift processing, including reconciling financial records, monitoring pledges, and payment schedules;
A passion for data and building systems that optimize team efficiency and effectiveness to maximize philanthropic giving;
Excellent attention to detail and accuracy in data entry and management;
Comfortable navigating new database software and quick to adapt to changes in technology;
Strong customer service skills with the ability to communicate effectively;
Proficiency in running complex inquiries and extracting insights from large datasets;
Ability to prioritize tasks effectively and manage multiple projects simultaneously.
COMPENSATION AND BENEFITS
The salary range for this role is $75,000-$90,000. Purpose Built offers a generous and comprehensive benefits package to all staff, effective on the first day of employment, which includes:
