Job Summary

The Project Management Team in the UCSF School of Dentistry is integral to supporting organizational advancements that enhance patient care, education and discovery. From working to resolve complex issues to streamlining processes, the Project Manager works with projects that have broad impact across functional areas, research initiatives, programs and/or the organization.

Attention to detail and proactive management and communication are critical.

The Project Manager:
Uses advanced clinical operational concepts and objectives to resolve highly complex issues;
Regularly work on issues where analysis of situations or data requires an in-depth evaluation of variable factors;
Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results;
Is responsible for management to deadlines across a portfolio of projects and initiatives involving deliverables assigned to others;
Supports project team objectives as defined by the Associate Dean of Finance and Administration and Director, PM Team;
Completes substantive assignments/projects/tasks of moderate scope and complexity;
Identifies and implements innovative solutions clinical workflow changes to improve department, entity, or system operations by leading unit projects and/or other department/system-directed activities.
Develops and oversees the implementation of new programs and processes.

Reporting to the Director, PM Team, the Project Manager works with School leadership as needed including Associate Deans, Department and Division Chairs, Department Managers, Directors and faculty and staff committee chairs to communicate project scope, clarify and document timelines, deliverables, and tasks assigned to self and others.

The Project Manager will also support initiatives identified by the Director of Clinical Operations and Finance and work closely with Director of Dental Centers and Clinical Supervisors.

The Project Manager creates, documents, and executes processes to support deliverables throughout the project lifecycle. The nature of the projects will have broad scope, impact and will be varied, and often have complex and multi-step plans. Illustrative responsibilities include defining the project scope, creating detailed supporting analyses, initial and ongoing engagement of stakeholders, providing project support, impact assessment, documentation of current and future state business requirements including a deep understanding of clinical workflows, fit-gap assessment and documenting design/specifications for project work streams and change management, and communication of these items to the Dean's Office and Dental Clinic team members.

Project success is evaluated collaboratively, led by Director, PM Team with input from others as applicable, including the Associate Dean for Finance and Administration, and other Directors in the Dean's Office and staff leadership in School of Dentistry Clinics.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The School of Dentistry is a global leader in dental education and public health, clinical practice and scientific discovery.

The School is also one of the top oral and craniofacial research enterprises in the world, ranked the top dental school in the country in research funding from the National Institutes of Health for 25 years and home to several leading translational research programs. It is composed of four academic departments - Cell and Tissue Biology, Oral and Maxillofacial Surgery, Orofacial Sciences, and Preventative and Restorative Dental Sciences. The four departments house 14 divisions and the Center for Orofacial Pain, and two non-academic departments, the Dean's Office and Predoctoral clinics.

Required Qualifications

Bachelor's degree in related area and 7-10 years' related experience/or equivalent experience/training.
Advanced knowledge of common organizational and other computer application programs.
Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing.
Proactive communication skills, sound judgment and curiosity.
Ability to use discretion and maintain all confidentiality.
Advanced project management skills.
Thorough knowledge of organizational or initiative processes, protocols and procedures.
Ability to multi-task with demanding timeframes.
Advanced knowledge of applicable policy analysis techniques.
Advanced analytical/problem-solving skills.
Demonstrated experience facilitating groups and leading toward a desired outcome and deliverables.
Demonstrated ability to take initiative and work effectively with various levels of personnel in a large organization.
Ability to work proactively and independently with minimal supervision.
Ability to research, synthesize and present large amounts of data at a high level
Advanced interpersonal skills including verbal and written communication, active listening, critical thinking
