As a Project Coordinator working on-site at our Sussex, WI location, your primary responsibility will be to obtain detailed information from multiple stakeholders to create a project outline that becomes THE reference for our installation and support team.
Throughout the process, the customer will turn to you as the subject matter expert for guidance on best practices and industry standards. The most important skill is to have a positive, calm, engaging, and confident attitude.
IVS Project Coordinator Duties Communicate with sales team members to ensure hardware meets client expectations, and customers' vision is delivered. Create/customize all project documents. Create/Participate in project calls meetings. Identify and hold key stakeholders accountable to provide information promptly. Oversee ongoing project correspondences to verify, compile, and document new information. Assess potential issues or technical challenges and accordingly develop resolutions. Schedule or reschedule all on-site services and hold the client accountable to the timeline established and mutually agreed upon. Track project progress and ensure all project activities are completed on time. Monitor project schedules regularly to determine any delays or deviations. Attend internal project meetings and follow up with outstanding tasks. Assist with scheduling IVS travel as needed. Develop project reports for management and clients. Training will be a mixture of job shadowing for processes and classroom-style learning about our software and hardware. There will also be times when you will travel with our installation team to fully understand the process as a whole.
Here is what you need to excel in this role: Having a passion and finesse for providing excellent customer service, being a savvy communicator with internal and external customers, possessing the agility to handle multiple projects, and being a high-volume producer are key competencies for this role. Being self-aware with diplomatic interpersonal skills, along with a detail-oriented mindset will help you succeed. Possessing the drive to work independently with minimal managerial supervision. Strong knowledge of written and digital management tools. 1 year of project management in a technical setting. Proficient in Word, Outlook Zoom and CRM & project management software. This is position is full time, Monday - Friday 8am - 5 p.m. You must be able to work on-site at our Sussex, WI (this is NOT a remote job).
