Position Summary Position open until filled / First Review of materials will begin: Monday June 3, 2024 Salary range for this position is: $57,984/yr. - $78,096/yr. (depending on experience) Applicants must be currently authorized to work in the United States on a full-time basis. The employer will not sponsor applicants for work visas. Seattle Maritime Academy (SMA) provides training to students launching their careers in the maritime industry. Students in our full-time programs work to earn endorsement as either Able Bodied Seafarer or Qualified Member of the Engineering Department. In addition to our regular college cohorts, SMA supports cohorts of students from the Maritime High School through Running Start and students from the Seattle Public Schools Skills Center programs. SMA offers a variety of continuing education classes and short-term training programs for maritime companies. As a part of the recruiting efforts to increase awareness for underrepresented demographics in the maritime industry, SMA is conducting short-term career awareness events, including school field trips and weekend and camp activity days.

As our Program Specialist you will be responsible for a wide range of complex duties supporting the staff and faculty, including fiscal management and front-desk administration. In this role, you will perform clerical duties, generate faculty contracts, assist in schedule development and conduct general administrative support for the Dean and staff.

What you will be working on: Throughout your work you¿ll demonstrate cultural humility and intercultural engagement, including an awareness and understanding of historically disadvantaged populations, and create an educational environment that affirms commitment to equity and diversity. You¿ll engage in shared governance, including district-wide efforts to build an antiracist institution focused on action to advance access, retention, and success for our most marginalized and vulnerable students and employees. Course construction: using ctcLink, maintain course schedules, updating data each quarter. You¿ll participate in monthly information sessions for prospective students and, working with the Student Recruiter, manage the admissions process for incoming students. You¿ll manage student registrations and records. You¿ll serve as the budget manager for the department, working closely with the Dean to ensure financial tracking and spending is done in accordance with college and state policies. You¿ll keep all appropriate department records, including student records, United States Coast Guard (USCG) Program Files, budget documentation. You¿ll lead compliance for your department ensuring that all faculty and staff comply with College and USCG requirements, including drug testing, inspections, and audits. You¿ll support efforts to improve the campus through work on appropriate College committees, coordination with other College departments, and collaboration with SMA staff. What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)
You have an Associates Degree or higher. You have 5 years of increasing responsibility within an office environment, including experience leading the work of others. You have a proven track record of solving complex problems, managing multiple projects simultaneously You have strong communication skills, particularly related communicating to a variety of audiences You have a self-possessed demeanor and ability to work well under time pressure and on high-stakes projects You have strong interpersonal skills and high emotional intelligence Physical Requirements: The Position
Typically works in an office environment and uses a computer, telephone and other office equipment as needed to Perform duties. The noise level in the work environment is typical of that of an office. Encounters frequent interruptions throughout the workday. Is regularly required to provide 1:1 support, present to small groups, and work at a computer exercising repetitive hand motion with or without reasonable accommodation.
