Position Overview: The Procurement Coordinator is responsible for assisting with scheduling of grading for all programs and individual requirements. To achieve this, the Procurement Coordinator will work directly with the Procurement Team to achieve departmental goals and maintain day-to-day operations. It will include working closely with our Program Manager s, product vendors and external grading services to meet comprehensive action plans, including resources and timeframes. You will perform various coordinating tasks, like scheduling, maintaining project documentation and handling financial queries for grading fees and purchases. To succeed in this role, you should have excellent time management, organizational and communication skills as you'll collaborate with internal teams and external teams to deliver results on deadlines.
Job Summary/Responsibilities: Support Procurement activities: Assist with monitoring graded coin inventory levels to Marketing forecasts. Act as liason with Merchandising and external grading services as necessary. Prepare grading submission forms as needed with detail and accuracy. Ensure coins returning from external grading services are processed and received according to required plans/deadlines. Enter intercompany sales of inventory to ensure needed "evergreen" stock levels. Enter intercompany sales of graded inventory drop shipped from external grading services and communicate with our distribution center and subsidiaries for system processing. Enter assembly work orders, return items and work with A/P to ensure timely payment and/or credit to maintain vendor relationships. Monitor open purchase orders to ensure delivery dates are accurate. Provide backup support and prepare reports as needed. Assist with procurement functions as required. Provide general department support as needed: Perform other duties as requested to meet business needs. Required Experience & Qualifications: Educational Requirements High School Diploma Experience and Skills 2-3 years of experience in a Procurement Coordinator, Project Coordinator, Operations enviornment. Accurate keyboarding and ten-key skills required. Strong communication and organizational skills. Strong problem solving skills and ability to work effectively in a rapidly changing, dynamic environment. Excellent listening skills. Specialized Knowledge, Skills and Abilities Intermediate proficiency in MS Word, Excel and Outlook. Ability to understand and operate ERP and related systems. Strong level of understanding of coin grading. Travel Ability to travel domestically and internationally when required, approximately 0-5%.
