Job SummaryUnder the general direction of the Administrative Services Manager (ASM) and Lead HR Analyst, the Personnel Process Coordinator enters data for processing all paperwork associated with college personnel related activities, provides administrative support for the college, serves as a resource person for the dissemination of information to the departments and centers in the college.Key ResponsibilitiesHiring, On-boarding, and Off-boarding - Collects all faculty, TA and GA hiring paperwork and completes corresponding data entry for review.Timekeeping and Payroll - Acts as primary staff and faculty payroll timekeeper for the CHHS Administration. Verifies accuracy of staff and faculty payroll data monthly. Assists departments with staff and faculty payroll adjustment forms and prepare for ASM review.Contracts and Workload Support - Provides support with stateside contracts review. Assists in preparation of CPACE proposals and contracts. Coordinates the Assigned Time process with CHHS department coordinators and prepares data for review.General Administrative Support to the HR Analyst and ASM - Collects college level signatures on personnel related documents for Faculty Affairs, Staff HR, Payroll, CPACE, and Foundation HR. Serves as a liaison between student, faculty, and administrators and the public, including answering phones and greeting Department visitors. Is able to independently solve customer problems and identify appropriate resources.Knowledge Skills and AbilitiesStrong analytical, organizational and communication skills to communicate effectively with ethnically and culturally diverse faculty, staff, students, and public. Ability to establish and maintain cooperative working relationships and be an active team participant. Ability to work independently and be accountable for work activities and follow through on assignments. Detail-oriented approach to work essential. Knowledge of various Microsoft Products, including Microsoft Office. Microsoft Excel experience and skills are required.Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."Education and ExperienceEquivalent to five years of general administrative support experience required.Experience in Human Resources or similar fields preferred. Budget experience preferred.Experience in PeopleSoft and Sharepoint are highly preferred.Physical SummarySedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).DepartmentCHHS AdministrationClassificationAdministrative Support Coordinator IICompensationSalary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.Hiring Range:The hiring range for this position is $3,865 - $5,400 per month commensurate with candidate's education, experience, skills, and training.CSU Classification Salary Range:The CSU Classification Salary Range for this position is $3,865 - $6,336 per month.BenefitsExcellent benefits through CalPERS (health, vision, dental), tuition fee waiver, generous vacation and sick leave, and 14 paid holidays each year.Time Base1.0 time-base, 40 hours per week.Duration of AppointmentThis is a temporary position for 1 year with no permanent status granted.
