The PAS Coordinator provides leadership, expert guidance and oversight for PAS Trainees, PAS Specialists, and PAS Resource Specialists consistent with the operational requirements and customer service philosophy of OHSU. In this position, the PAS coordinator providers leadership and guidance to a cluster of eight PAS/PASR in three Pediatric Specialties practices. The purpose of this position is to assist in the coordination of clinical and hospital services in support of: Pediatric Urology, Pediatric Nephrology and the Pediatric Specialty Happy Valley clinic, their physicians, advanced practice providers, residents, and nurses. Leading an established team of PAS and PASRs that facilitate patient access to OHSU health care services through direct contact and phone interactions with patients. This position is responsible for templating provider clinics, coordinating all surgery scheduling, providing financial cost information for uncovered services, obtaining authorizations for surgery, scheduling clinic and PMC appointments, gathering demographic and financial information, confirming & answering patient questions regarding health care coverage, directing urgent calls to appropriate resources and directly supporting the OHSU objectives of clinical care, quality assurance, education and research. The candidate must be professional in attitude and appearance and have excellent communication skills. Candidate must also be flexible, a team player, have the ability to multi-task, be very detail oriented, and be able to work in a fast paced surgical clinic environment where demands are high.
Clinical Service Resource: Shares PAS expertise and disseminates information to other PAS personnel. Serves as an expert user of PAS systems in Epic and iQueue. Maintains working knowledge of diagnostic and procedural coding appropriate for the service areas. Maintains PAS Specialist skills in the areas of enrollment and authorization, arranged care, point-of- service operations, integrated care, and telecommunications. Provides direct customer service in a PAS Resource Specialist role, filling in as needed for any subordinate PAS position within the service area. When necessary, communicates directly with patients or other customers who have encountered difficulty accessing health care at OHSU. Serves as expert in iQueue and Epic Optime functionality. Participates in OPEx continuous improvement efforts for the Doernbecher OR team, and the two practices supported by this role. Personnel Coordination: Assists the Practice Manager with interviewing and hiring PAS trainees, PAS Specialists and PAS Resource Specialists. Orients new employees and plans for training. Monitors for timely completion of training requirements and demonstration of core competencies. May be required to assign and approve PAS-related work. Assists employees with problem identification and resolution. Prepares Standard work SOPs and PAS Job breakdown sheets. Communicates performance expectations and PAS policies and procedures. Investigates PAS-related performance problems, and prepares the standard PAS accountability documents. Works conjointly with the Practice Manager to counsel employees, develops work plans, and when requested, provides Practice Manager with input regarding progressive discipline. Prepares PAS Performance Assessments and provides this documentation to the Practice Manager. Coordinates PAS personnel work schedules and time-away, and arranges coverage for absent PAS personnel when necessary. Customer Service: Provides high quality customer service to both external customers (patient, referring providers, and insurance carriers) and internal customers (OHSU healthcare providers and staff) that meets or exceeds the service standards of the healthcare industry. This duty includes prompt and professional communication efforts, direct customer contact skills, crisis management, facility with available information, technology, standard complaint processing, flexible coverage of internal service needs, and the continuous application of process improvement methods and skills. Clinical and Administrative Operations Monitoring Investigates clinic scheduling errors, patient volume and flow, no-show appointments and rescheduled appointments, and providers' time utilization; recommends operational changes as needed. Completes monthly confirmation of standard work audits on PAS group as part of clinic daily management systems. Investigates claim denials, particularly for evidence of PAS non-compliance; communicate findings to appropriate PAS personnel and providers. Investigates patient and provider complaints, and develops appropriate corrective action plans and service recovery. Creates and maintains surgery calendars and clinic templates, serving as the liaison between providers and PAS staff to find OOB scheduling options when needed, and ensuring outreach clinics and ORs are utilized appropriately. Maintains accurate provider templates and listings of available clinical services for the practices. Two years of front-line clerical experience in a clinical setting with direct patient contact. Experience must include scheduling of appointments and may require experience obtaining managed care authorizations. Preference given to candidates with knowledge of OHSU's PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience. Job Related Knowledge, Skills and Abilities (Competencies): Demonstrated excellent written and verbal communication skills, strong customer service orientation and ability to work as a team member. Excellent judgment and problem-solving skills. Ability to meet deadlines and urgent patient and system needs; ability to work independently. Willingness to serve as a positive and professional role model. Evidence of detail-oriented work and superb organizational skills. Ability to work as a team member at a high level in a large organization. Proficient in EPIC Work Queue management. Regular and reliable attendance. Bachelor's degree Knowledge of OHSU's PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience. Experience obtaining insurance authorizations for surgical services. Experience in OPEX/ Lean process improvement initiatives. Proficient in EPIC clinic and surgery scheduling. Monday – Friday, varies 6:30AM – 5:00PM
