The Parts Administrator is responsible for assisting the Fleet Manager and Mechanics with all parts procurement for Shop and Field repairs. Responsibilities include ordering parts, checking in received parts, delivering parts, and/or picking up parts from suppliers/vendors, returning parts, and ensuring all parts are accurately tracked.
Essential Duties and Responsibilities • Help answer phones/emails and assist internal customers (Field Mechanics) with individual needs for Parts, provide parts cost estimates, procurement timelines, etc.
• Handle, respond to, and direct incoming correspondence, calls, and tasks with vendors in a timely manner.
• Order parts and handle shipping/receiving.
• Communicate with vendors via email, fax, or phone to provide/obtain purchase order approvals and/or discuss billing questions.
• Gather necessary paperwork and upload into system for records.
• Create and catalogue weekly and monthly department reports.
• Perform accurate cycle counts, inventory checks and track/update parts in the system and/or on the shelf.
• Provide excellent customer service by going above and beyond internal customers' expectations.
• Contributes to achievement of Fleet department goals and objectives.
• Maintains a safe and compliant working environment.
• Attends management meetings when requested.
• Support ad-hoc projects related to priorities and initiatives.
• Perform other duties as assigned.
Education, Training and Experience • Minimum of High School education or GED
• 1+ years' experience in a commercial/diesel vehicle repair shop and/or fleet service department as a Parts Associate; Automotive Parts experience is OK.
• Experience in positions demonstrating the ability to provide exceptional customer service to external and internal contacts.
• Excellent organizational and time management skills, and an almost obsessive attention to detail.
• Proficient computer skills, including MS Excel and Word, and the ability to learn new systems quickly.
• Excellent organizational skills and the ability to balance a variety of tasks.
• Excellent verbal and written communication skills; Ability to effectively communicate at all levels of the organization.
• Dependable, organized and committed.
• Mechanically savvy and the ability to learn parts and processes.
• Common knowledge of the trucking industry; experience with fleet maintenance or other transportation experience in automotive/trucking would be very helpful.
