Job summary
Our Operations Administrator will assist with the daily accounting, administration and human resource needs of the organization.They will also provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.They will assist in the planning and execution of corporate events for both internal and external events.
Responsibilities
• Assist with maintenance of the accounting and HR related systems, payroll and HR related reconciliations, reporting, and filings.• Assist in filing, maintenance and retention of Business/Administrative documentation.• Generate reports/queries and maintain data integrity in systems.• Answer telephone calls, snail mail, and emails from customers and clients and direct them to relevant staff.• Perform receptionist duties, greet visitors, and answer and direct phone calls.• Receive and sort incoming mail and deliveries, and manage outgoing mail.• Assist in gathering and providing information for regulatory audit processes and procedures.
Requirements
• Process AP/AR, bank deposits, and provide general ledger reconciliation support.• Identify opportunities for process and office management improvements.• Act as a primary contact for staff with HR needs.• Plan, prioritize and organize work effectively under pressure and time deadlines.• Support creation and maintenance of internal HR processes, procedures, documents, templates.• Assist with coordination of meetings and/or trainings.• Gather and provide information for regulatory audit processes and procedures.• Maintain and make recommendations regarding office policies and procedures.• High school diploma or equivalent required, BSBA preferred.• Demonstrated experience working in a customer-focused environment.• Advanced proficiency in using Microsoft Suite and Google Suite.• Aptitude to learn new technologies.• Meticulous attention to detail and ability to perform tasks accurately and efficiently.• Ability to handle complex and confidential information with discretion and sensitivity.
