Job Overview The Illinois Environmental Protection Agency (EPA) is seeking to hire an Office Coordinator, Option 2 for the Bureau of Land, Leaking Underground Storage Tank (LUST) Units of the Section Manager's Office. The ideal candidate for this position will be organized, detailed, and possess the ability to adapt to change in a collaborative, fast paced environment. The ideal candidate will also need to be able to communicate effectively verbally, electronically and in writing with both internal and external stakeholders.

Job Responsibilities 35% 1. Performs paraprofessional office support functions of record processing and secretarial assistance for the professional/technical staff of the Deputy Bureau Chief/Bureau of Land (BOL), for the Leaking Underground Storage Tank (LUST) Units of the Section Manager's Office; Performs database management on a variety of complex systems for BOL including but not limited to the monitoring of State and Federal LUST report data, Corrective Action Reports/responses, and Professional Engineer (PE) Certifications. Enters scientific data into specialized personal computer data base systems. Requires reading of keyboarded and handwritten hard copy which contains specialized words, alpha/numeric codes, and acronyms. Inputs commands to bring up data and entry screens to enter and edit data. Responsible for timely data entry, completeness, and accuracy of data. Sorts and generates reports from data. Manipulates data into proper formatting for requested reports in BOL. 35% 2. Maintains automated files using established procedures and coding schemes; Screens and edits LUST documents which contain difficult terminology and complex scientific formats. Performs computations on data to maintain data consistency. Resolves discrepancies and identifies deficiencies for technical staff follow-up. Applies procedures and manipulation of stored information to generate reports in BOL.
(Job Responsibilities continued) 15% 3. Provides secretarial assistance to LUST professional/technical staff; Opens, sorts, and assures timely delivery of incoming and outgoing mail. Answers and directs incoming telephone calls, answers non-technical inquiries. Makes and cancels business related appointments for BOL professional/technical staff. 05% 4. Maintains supplies of printed documents, and related material for dissemination to the public and private organizations based on verbal and written requests; Provides telephone backup, answering calls in BOL. 05% 5. Attends Section staff meetings as established by the Manager for development and training; Cross trains and participates in all procedures relating to files, reports, correspondence routing, and other related materials necessary for the efficient and effective administrative support of the BOL. 05% 6. Performs other duties as required or assigned, which are reasonably within the scope of duties enumerated above. Minimum Qualifications Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience. Requires ability to keyboard accurately at 30 words per minute.
Preferred Qualifications (In Order of Significance) Prefers extensive knowledge of office practices, procedures and programs. Prefers extensive knowledge of composition, grammar, spelling and punctuation. Prefers extensive knowledge of basic mathematics. Prefers working knowledge of the logic of computer programs. Prefers ability to follow oral or written instructions. Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance. Prefers skill in keyboarding accurately. Prefers the ability to utilize a personal computer with knowledge of Microsoft Word, Access and Excel software. Employment Conditions Requires ability to pass a name-based background check. Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.
