Scheduled Hours 37.5 Position Summary Provide administrative support to office/department. Job Description Primary Duties & Responsibilities Greet visitors, answering telephone calls, directing callers, directing visitors, follow-up as necessary. Coordinate and support hosted meetings and events. Manage conference room calendar, mailings, setup of meetings for location. Maintain files, performs mailings, photocopying, faxing, monitors office supplies and orders supplies. Distribute mail. Serve as a back-up as requested to the assistants to the executives as requested. Perform other duties as assigned. Preferred Qualifications Some college. Experience working in an office. Reception experience in a high profile, service-oriented environment. Experience with Financial system/AIS. Experience in proofreading/editing. Proficiency in word processing, spreadsheets, databases and email. Proficiency with web tools. Demonstrated effective verbal, written and interpersonal skills and customer service skills. Detail oriented and shows initiative in problem solving. Ability to manage multiple tasks simultaneously. Attention to detail; ability to follow-up. Ability to work effectively in a fast-paced office while maintaining a consistently high level of enthusiasm and professionalism. Discretion, effective people skills and social skills to ensure appropriate interactions with University administrators and visitors. Ability to handle sensitive, confidential information. Ability to work independently without close supervision. Should be comfortable offering office visitorâ™s coffee, water, hospitality, etc. Required Qualifications High school diploma or equivalent high school certification.
