Position Summary Representing the Office of International Studies in Education (OISE) and the Chinese Language Teacher Certification Program within the College of Education, this position will be responsible for providing program and fiscal support. Specific job duties and responsibilities include, but are not limited to, assisting with student recruitment and processing of admissions applications, correspondence with applicants and prospects; processing various documents, including but not limited to student fellowships and scholarships, CPT paperwork, student enrollment and teacher certification documentation; processing F-1 Student and J-1 Visiting Scholar visa paperwork; assisting with scheduling and reserving rooms, providing front-desk assistance, collecting and maintaining data with reports; processing contracts, invoicing school districts, tracking payments, submitting deposits and processing payments/reimbursements; ordering departmental supplies and managing inventory; event support (room reservations, maintaining attendee and guest information; parking logistics; ordering food and supplies; location and event logistics; day of event support, etc.); processing payments (e.g. faculty overload, summer pay, fellowships, vendors), processing Cost Redistributions (CRD) and employee appointments; make international and domestic travel arrangements, maintaining budgets and reconciliation for multiple programs, assist with budget planning, proposals and forecasting, attentiveness to funding sources (foreign, governmental, private, etc.) and MSU restrictions and policies; and working within terms and conditions of documents/agreements for international programs.
Unit Specific Education/Experience/Skills Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.
Desired Qualifications Cross- and intercultural communication fluency;
Experience maintaining student or other confidential records;
Capacity to learn new systems including MSU Enterprise Business Systems (EBS) (SAP, Kuali Finance, Business Intelligence) and Student Information System (SIS);
Strong organizational skills and able to meet deadlines;
Technical aptitude, and resourcefulness in resolving technical issues;
Works well with diverse groups of people including working teamwork and fostering a cooperative work environment; Displays strong interpersonal skills, including oral and written communication;
Works effectively on multiple tasks with changing priorities;
Displays a great attention to detail; demonstrates a work orientation that includes problem solving, seeing the bigger picture, forecasting potential trouble spots, taking initiative; and
Dedication to continuous self-improvement.
