Report to Director of Doctoral Studies Department Doctoral FLSA Status Salary Non-Exempt JOB PURPOSE Responsible for all duties delegated by the administrative assistant & director in the areas of travel arrangements, scheduling, recruitment, reporting, and office workflow.
ESSENTIAL FUNCTIONS Provide oversight between departments to ensure communication. Build travel proposals, make travel bookings, and build travel itineraries for doctoral faculty/staff, ensuring proper financial follow-up. Prepare reports for Doctoral Academic Policies Committee meetings and Cabinet that require tracking and compiling numbers of inquiries, admits, enrollment, etc. Assist with committee meeting follow up. Prepare and execute mass mailings. Process new admit files in CAMS and the doctoral office database. Ensure proper archiving of student files, office files, and syllabi. Keep track of provisionally admitted students and regularly follow-up with the students to receive missing application items or necessary leveling. Update student account information in CAMS and the doctoral office database when needed (such as contact information, provisional admission information, billing information, etc.) Assist the Doctoral Studies Director with communications and email. Assist the Assistant Registrar to Doctoral Studies with student account information and processing when needed. Coordinate tracking for progress reports, comprehensive exams, and the final writing stages for both students and professors. Coordinate tracking of attendance of doctoral students in seminars and in the dissertation phase. Maintain and update the doctoral studies handbook with new or modified policies when needed. Prepare contracts for dissertation readers and seminar adjuncts. QUALIFICATIONS / REQUIREMENTS Include, but not limited to:
Christian with high integrity, actively pursuing a relationship with God Some college preferred Computer experience required. Proficiency in Microsoft Outlook, Excel & Word required. Proficiency in Mail Merging preferred. Proficiency in CAMS, Radius, and Canvas preferred. Proficiency in Travefy a plus. Ability to read data, construct reports, and create clear correspondence based on reports. Ability to use proper phone and email etiquette. Ability to use common office productivity software, including Microsoft Office suite – Word, Excel, Outlook. Ability to learn and use CAMS database software. Ability to read, analyze, and interpret software and hardware instructions and information. Ability to be detail-oriented and take on personal initiative to aid the doctoral office in refining and maintaining efficient workflow. Ability to take on multiple tasks at a time and prioritize well. Must be able to work independently, as well as a part of a team Eligible to work in the United States Excellent communication skills, both written and verbal and with a positive attitude Able to learn and utilize new skills and information to improve job performance and efficiency.
