Position will be open until filled. GENERAL PURPOSE: Performs a variety of clerical duties relative to area of assignment; provides secretarial support to assigned departmental personnel; prepares and processes various types of documentation; performs data entry; maintains departmental records and files; and perform other related duties as assigned.
PRIMARY DUTIES AND RESPONSIBILITIES: Provides information, customer service, and/or referrals to the public. Answers, screens, and directs incoming calls; documents and distributes requests for service. Greets and directs visitors to appropriate City departments, personnel or partners. Responds to general inquiries regarding departmental operations, policies, programs, and/or services. Gathers and compiles data; prepares and/or generates various types of reports. Performs data entry; updates and maintains departmental records, files, and/or databases. Provides clerical support and assistance to assigned departmental personnel. Updates and maintains departmental calendars; schedules/coordinates appointments and meetings. Organizes and prepares materials for meetings, speaking engagements, fairs, and/or other functions. Prepares, processes, copies, files, and distributes correspondence and other documentation. Conducts a variety of routine accounts payable, accounts receivable, and/or payroll tasks. Prepares bank deposits; balances and maintains petty cash. Assists in ordering departmental supplies and equipment; obtains vendor quotes/bids as required. Collects, processes, and distributes incoming and outgoing departmental mail. Performs other routine or specialized duties relative to area of assignment as required. Hours: Monday through Friday, 9:00 am to 6:00 pm. Regular and timely attendance is required. Other duties as assigned. MINIMUM QUALIFICATIONS: Education and Experience: High School Diploma or equivalent; and one year general office experience; or an equivalent combination of education and experience.
Required Licenses or Certifications: A Texas Driver License with a good driving record is required. Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure. A skilled typing test is required (35 wpm with 90% accuracy). Required Knowledge of: General office principles, practices, and equipment. Standard computer software applications. Records management principles and standards. Basic bookkeeping and accounting principles. Customer service standards and protocol. Required Skill in: Coordinating and performing a variety of general clerical duties. Providing secretarial support to assigned departmental personnel. Preparing correspondence, reports, and/or other types of documentation. Performing accurate data entry and updating/maintaining departmental records and files. Establishing and maintaining cooperative working relationships with other staff, City departments, outside agencies, and the general public. Physical Demands / Work Environment: Work is performed in a standard office environment. Subject to sitting for extended periods of time, standing, walking, bending, reaching, climbing step ladders, and lifting of objects up to 25 pounds.
