Office Administrator
Primary Duties:
Coordinating and calendaring (setting) appointments. Oversee, coordinate and perform day to day school administrative functions. Work with the Head of School and CFOO with respect to Board of Director meetings. Handle school newsletters, memos and agendas and notification systems. Staff the reception area and direct visitors and parents to correct school personnel. Warmly greet school visitors. Performs miscellaneous clerical work, such as filing, typing, relaying messages, operating office machines, and opening and routing mail. Compose and manage correspondence, conducting extensive mail merges. Answer telephone calls and transfer calls to the appropriate recipients. Coordinating with the Director of Administration on project work per school event/upcoming program/field trips. Provide direct administrative assistance for assigned faculty, staff, and/or department when needed. Ascertain the confidentiality and integrity of information received through board of director and department meetings. Additional responsibilities:
Enter and maintain database on inquiries to the school using Rediker Software. Post information in daily bulletin as needed or requested. Format and print materials, as needed. Attend department meetings and prepare agendas and/or materials as requested. Run queries and research as requested. Projects and tasks assigned by Office Manager or school administrators. Maintain confidential records, and confidential communications. Assist with functions related to standardized assessments. Global Education
Primary Duties:
Coordinate and set appointments for Director/Associate Director Global Education with students and parents. Coordinating calendar for Director/Associate Director for group meetings before trips. Updating all Global Education forms within school requirements. Update, distribute, collect and process incoming applications for Global Education programs. Create mail merge for decision letters and other inquiries as requested by manager. Book group visits to requested venues, lodging, etc. Distribute itineraries to students and parents both physically and digitally. Track information and create reports for department. Answer Global Education inquiries via phone, email, or by letter. Additional responsibilities:
Enter and maintain Global Ed information on school database. Maintain hard copy files on all inquiries and applications. Format and print materials, as needed. Attend department meetings and prepare agendas and/or materials as requested. Prepare all reports as requested. Run queries and research as requested. Other projects as assigned/requested. Overall Knowledge, Skills and Abilities Enthusiasm for mission and vision of de Toledo High School and strong commitment to embrace and promote its culture. Strong familiarity with independent school sector and/or the Jewish community. Strong organizational skills sufficient to handle multiple projects, details, and deadlines simultaneously; strong ability to prioritize. Must be technology oriented (able to learn new systems quickly and effectively). Strong interpersonal and communication skills with people at all levels and in all settings. Proficiency with Microsoft Office Suite (MS Word, Excel, Power Point, Outlook, Publisher, Google Docs, Sheets and Slides); other school software and databases. Collegially inclined with peers; a willing communicator and collaborator; enthusiastic team player. Comfortable working within a fast-paced dynamic school environment. Unquestionable personal integrity, excellent judgment, sound instincts, diplomacy and patience. All work performed by this position is to be done at school in an assigned office or on campus, and not in a home office.
Position also is required to use school property (i.e. assigned computer vs. a personal computer.)
Salary Range: $25-$28 per hour DOE
Benefits include: 100% employer paid medical and dental, plus 50% for 1 dependent; vision; an annual and generous 403(b) match; all Federal holidays plus up to 12 Jewish Holy Days paid per year; 4 weeks Paid Time Off.
