Within the Office of Diverse Learners Supports and Services (ODLSS), the Enrollment Specialist will report to the ODLSS School Assignment Manager. The Enrollment Specialist will support the School Assignment Team in the management of all documentation, data collection and communication related to the enrollment of diverse learners who require a cluster program or separate day/therapeutic seat in a timely manner and will perform other duties as assigned. The School Assignment Enrollment Specialist will be held accountable for the following responsibilities: Lead all collection and transmittal of all student referral records for students referred for a cluster program or separate day/therapeutic school assignment Maintain all case files for students referred for a cluster program school assignment Execute the enrollment of this population of students and updating of all student information using the district's student information management systems Track critical dates (school assignment date and date of expiration) to ensure parents/guardians are aware and adhere to required school enrollment timelines Manage communication regarding school assignment to school administrators, school staff, parent/guardians and other ODLSS internal/external stakeholders Track all students who have a status of ten day school assignment to ensure compliance for diverse learners Generate regular reports from the district's student information management systems for program monitoring and evaluation Serve as first point of contact for all inquiries from students, parents/guardians, school administrators, school staff, and internal/external stakeholders, providing critical information and problem solving Archive end of the year records Other ad hoc duties as assigned In order to be successful and achieve the above responsibilities, the School Assignment Specialist must possess the following qualifications: Education Required Bachelor's degree from an accredited college or university required Experience Required: A minimum of 3 years of relevant work experience, required Working knowledge of IMPACT (Aspen and SSM) student information system required Bi-lingual in Spanish preferred CPS prior experience professional work experience is highly preferred Knowledge, Skills, and Abilities :
Excellent organizational skills and ability to maintain detailed records while protecting student confidentiality Ability to successfully manage multiple tasks requiring minimal supervision Ability to work in a fast-paced environment, respond immediately to multiple constituencies and meet continuous critical deadlines Strong analytical and oral/written communication skills Excellent time management and organizational skills in order to meet continuous critical deadlines. Knowledge of CPS schools and networks Expert user of Google office suites (Docs, Sheets, and Slides) Knowledge of CPS data systems (e.g. Access, SSM). Strong knowledge of the Aspen system and ability to navigate, with precision, the SSM system Ability to organize, analyze, share information and data Knowledge of relevant regulations and procedures stipulated in IDEA 2004 and Illinois School Code Ability to communicate effectively with internal and external partners such as: parents/guardians, ODLSS staff, school-based staff, citywide staff, and governmental and community-based agencies Ability to promote and encourage parental involvement and participation in the IEP process Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
• Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
• Be Fully Vaccinated Against COVID-19 - Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters. Unvaccinated staff with an approved exemption must submit to weekly testing.
