Medical Administrative Coordinator Location Portland, ME (Riverton area) : The Medical Administrative Coordinator is responsible for the coordination of the administrative and operational support of UNE Student Health Services (SHS). Reporting to the Office Manager, the coordinator collaborates with the SHS team as well as the Director of Finance & Administration to assure students, clinicians, and other staff are provided with qualified administrative support and assistance to meet their particular needs at any given time. Total compensation is $61,460 - $75,252, depending on which medical and dental plans are selected. Responsibilities Perform a variety of tasks related to the development and maintenance of computerized departmental records using an Electronic Health Records (EHR) system; initial database input; ongoing use of the system, involving regular data input and using programs to generate a variety of regular and special reports. Research, coordinate, and create correspondence between institution and insurance companies and student's PCP if referral is needed. Maintain adequate medical supplies for the two clinics. Consult with doctors and nurses about patients' medical records. Ensure that forms and documents are correctly filled in. Process medical records requests according to HIPAA guidelines. Confer regularly with the SHS Office Manager on priorities and projects. Consult with clinicians about patients' medical records and correct entry into EHR. Manage/maintain credentialing of clinicians in coordination with billing service. Facilitate effective and timely communication including between SHS and important University and external constituents; Respond in an appropriate and timely manner to critical needs. Assist with immunization compliance efforts and communication to individual units across the university. Interface with members of SHS team and other College of Osteopathic Medicine (COM) departments reporting to the VP Health Affairs/COM Dean, to answer general questions, direct inquiries, and assist with specific tasks as requested by supervisor. Manage and prepare satisfaction surveys and other annual/quarterly reports. Maintain knowledge of duties for other SHS professional staff to allow for cross coverage when necessary. Answer phone and email, greet visitors, answer questions, take messages, make appointments, referring to other personnel/offices as appropriate. Perform other related duties as assigned. Qualifications Associate's or Bachelor's Degree in the liberal arts, business or other appropriate discipline, plus three to five years of relevant secretarial and administrative experience, or a combination of education and experience from which comparable knowledge and skills have been acquired. Experience in medical practice or environment providing advanced administrative support is highly desirable or any equivalent combination of experience, education and training which provides the required knowledge, skills and abilities. Excellent written and oral communication skills. Proficient with Microsoft Office Systems: Outlook, Excel, Microsoft Word Experience with Banner, Medicat or other electronic health record system, and other computer applications helpful. Necessary judgment, tact, and resourcefulness. Ability to maintain a high level of confidentiality. Ability to prioritize multiple demands and projects; good project management skills and an understanding of working with complex projects.
