Full job description Responsibilities Basic Purpose Oversees the development, maintenance and continuous improvement of the Information and Records Management program which includes Enterprise Content Management and alignment with BHE platforms. Directs and supervises the Corporate Records staff and functions.
Essential Duties and Responsibilities Ensures compliance by all business units with proper record keeping, storage, retrieval and appropriate destruction according to corporate records management policy, through measurement criteria and standards. Establishes and enforces regular process for electronic and physical records disposition.
Updates and enforces Information Governance policies and processes. Ensures compliance with ISO requirements for information handling. Makes program improvements as needed to support changing regulatory requirements.
Provides guidance to department staff seeking assistance in implementing the corporate records and information management requirements.
Promotes and recommends common records classification and file plans. Ensures Records Program Documentation is maintained.
Ensures compliance with the audit and compliance program for Records Management with annual records audits of business units. Implements Legal Holds and manages Confidentiality Agreement process when notification received from Legal Department.
Ensures Records Retention Schedule (RRS) is updated to reflect new business processes. Develops policies and procedures in implementation and enforcement of BHE RRS.
Creates strategies for the management of electronic records and to address privacy and security requirements. Oversees development of Enterprise Content Management program to ensure all electronic records are managed from creation through usage, archive and disposition according to the Records Retention Schedule.
Ensures the maintenance and development of records management software to improve efficiency and evaluates new ideas and systems for potential compliance and regulatory impact. Ensures the development of corporate standards for SKOTI metadata, methodology and approval process; develops security groups for access to EDMS and Records Management Software; monitors and approve changes.
Develops and implements corporate RM training program, continually improve training tools for ensuring compliance with the corporate records and information management program.
Directs and supervises Corporate Records staff. Possesses well developed written and oral communication skills to effectively communicate with all levels of the organization.
Oversees a department budget that meets department targets and corporate needs.
Manages third party corporate contracts for records storage and confidential destruction.
Monitors and enforces all compliance requirements for area of responsibility.
Ensures all compliance aspects of position are known and followed; understands and complies with all policies, codes, and regulations applicable to position and company.
Performs related duties as assigned.
Requirements Essential Education, Skills, and Environment Education and Work Experience
Bachelor's degree from an accredited school in the area of specialty and 6 years of related work experience with 2 years in a supervisory capacity.
Candidates that do not possess a bachelor's degree must have a minimum of 10 years of related work experience with 2 years in a supervisory capacity.
Specialized Knowledge and Skills Demonstrated knowledge of:
Records Management techniques and regulatory requirements.
Related application testing and development.
Demonstrated skills such as:
Excellent time management, problem solving, decision making, reasoning, negotiations and organization skills.
Ability to communicate effectively with a diverse group of internal and external customers.
Equipment and Applications
PCs, word processing, spreadsheet and database software such as: Oracle Web Center: Records, Oracle Web Center: Content , and Email management solutions.
Work Environment and Physical Demands
General office environment. Moderate amount of lifting (up to 40 pounds).
Compensation Annual Salary: $100,700 (Min) to $118,400 (Mid); Up to 15% Short Term Incentive Plan target opportunity at the discretion of the company. This is a non-represented position.
