Position Overview: The Lobby Liaison plays a crucial role in facilitating smooth operations at River Oaks Animal Hospital by managing various tasks related to client interactions, patient care, and logistical coordination. This role involves welcoming clients, coordinating appointments, and maintaining a clean and organized lobby area. The Lobby Liaison serves as a vital link between clients, clinic staff, and the technical team, ensuring that communication flows effectively and tasks are executed efficiently. The Lobby Liaison plays a crucial role to successfully complete the day-to-day requirements of this position the lobby liaison will be expected to adhere to high standards, WOW through customer service, problem solve, and critically think. The Lobby Liaison will work closely with the client advocates, clinical team, doctors, ROAH leadership, and other team members to ensure efficient client interactions and uphold the organization's mission and values. The Lobby Liaison will be the first point of contact in the hospital for clients and will play a vital role in setting expectations of high standard of care for both our clients and patients and exceptional customer service. The ideal candidate is and outgoing, energetic individual with customer service experience and excellent communication skills.
Responsibilities: 1. Greeting and Coordination: - Welcome clients and patient by opening the door, greeting them by name and announcing their arrival to the appropriate team members.
- Coordinate appointments check-ins and tech visits by effectively communicating with the team and ensuring a seamless client experience.
- Provide exceptional customer service, aiming to 'wow' clients and visitors with a friendly and professional demeanor. Ensuring constant communication and comfort for clients while they are in the lobby.
-Assist the communications team by communicating with clients via AllyDVM for their appointment check-ins and knowing where appointments are waiting when they arrive.
2. Patient Care: - Oversee the collection of fecal and urine samples from clients, ensuring proper labeling, charges, and documentation for laboratory analysis.
- Manage the pickup and dispensing of medications, ensuring accuracy and compliance with established protocols.
- Coordinate tech visits by assisting veterinary technicians and ensuring necessary records are ready. Get the weight on tech visits when they arrive.
-Coordinate surgery intakes and surgical discharges by ensuring clients and patients are placed into an exam room in a timely manner and veterinary technicians are made aware of their arrival. Ensure clients have been assisted in a timely manner. Obtain patient's weight upon arrive and add to medical record.
3. Record Keeping: - Verify that all patients scheduled for the following day have complete and up-to-date medical records.
- Scan and attach new records received from clients or other sources appropriately. Ensure all reminders are correctly entered in the patient record.
4. Facility Maintenance: - Maintain the cleanliness of the lobby and client restroom area by regularly cleaning floors, removing debris, removing trash, and ensuring a welcoming atmosphere for clients.
5. Client Support: - Communicate and assist client advocates that are working with doctors with tasks such as placing clients in examination rooms, confirming appointments, making callbacks, managing online pharmacy orders, and preparing medication baskets when appropriate.
 - Communicate and collaborate with the communications team to assist on tasks such as phone calls and emails when appropriate.
- Collaborate with client advocates to streamline client interactions and support their tasks as needed.
6. Inventory Management: - Manage prescription drawers, ensuring proper organization of drawers and accurate labeling of medications.
- Ensure clients have been appropriately contacted for their prescriptions and assist in restocking medications that have not been picked up when appropriate.
-Properly check out and distribute medication to clients picking up. Ensure they are educated on the medication usage and any available rebates. Qualifications : - High school diploma or equivalent. - Previous experience in a customer service or veterinary setting required. - Strong communication skills with the ability to interact effectively with clients, team members, and visitors. - Organizational skills to manage various tasks simultaneously and maintain a well-structured environment. -Ideal candidate is an outgoing, people person with proven customer service success. - Attention to detail to ensure accurate record-keeping and medication management. - Compassionate and empathetic attitude towards animals and their owners. - Ability to remain calm and composed in a fast-paced environment. - Basic computer skills for record-keeping and communication purposes. Working Conditions: - This role primarily involves working in a veterinary clinic. - Physical tasks may include standing for extended periods, bending, lifting, and carrying lightweight objects. - May require occasional handling of animals, including dogs and cats. The Lobby Liaison's role is essential in providing a positive experience for clients and supporting the overall operation of the organization. The ideal candidate is enthusiastic, customer-focused, and capable of effectively managing various responsibilities to ensure a busy, well-functioning lobby area.
