LEGAL TECHNICIAN
JOB POSTING Opening Date: July 18, 2023 Closing Date: Open Until Filled Hourly Range: $24.68 - $35.18 Status: Full-time, Non-exempt The current schedule for this position is consists of Monday - Thursday with every other Friday off! Wages are only a portion of the extensive benefits The City of West Jordan offers! SUMMARY Under general supervision and direction from the City Attorney, this person will perform a variety of clerical and administrative duties, related to the City Attorney's Office . Duties generally include case and document preparation, scheduling witnesses, and maintaining records and files.

ESSENTIAL DUTIES Greets the public in-person and on phones; responds to questions related to judicial services, and attorney/prosecutorial functions, including cases, factual discovery, bail, warrants, payments, hearings, and appointments. Opens, reviews, and distributes mail for the Attorneys. Maintains comprehensive and indexed files, forms, reports, and records. Operates computer terminal to input and retrieve information related to litigation statutes, statistics, records, reports, accounts, and services. Maintains the Prosecution's cases for City Justice and Utah District Court, with associated papers/reports/certifications; posts official entries reflecting pertinent facts, court appearances and dispositions related to each case; maintains a suspense file on all pending cases, including hearings or financial matters related thereto. Performs duties or tasks related to litigation as assigned. Maintains calendar of arraignments, pre-trial and other pre and post judgment hearings, including jury and non-jury trials for City Justice and Utah District Court cases; prepares and maintains the office/court calendars of these events, keeps the Prosecutor(s) advised of all schedules and case needs. Maintains liaison and communications with agencies associated with prosecution, such as Police Department, City Justice Court, Utah District Court, Counsel for Defendants, Public Defenders, and affected City officers and employees. Prepares, assembles, and checks evidence and other materials needed for each court case; establishes and routes case files to appropriate prosecutor; prepares and routes responses (with Prosecutor's approval), according to required procedures. Maintains record of procedural changes, along with files and actively participates in case management. Performs follow-up work after setting up court appearances; prepares and submits to Court formal information; prepares and forwards subpoenas to needed witnesses; requests, prepares and files necessary reports, certifications, and background information. Assists, as dictated, in calling or otherwise arranging for witnesses' attendance/non-attendance to hearings or trials. Processes expungements, bail bond forfeitures, information, pleadings, motions, summons, and subpoenas, prepared by Prosecutor's office or received from the Court. Able to extract information from police and other reports, including witness statements needed to create executable Court documents for Prosecutor's signature. Maintains case files and monitors when court dates or follow-up responses are due. Assembles and reviews witness lists, evidence and other materials needed for trials, under the direction of the Prosecutor. Prepares subpoenas and arranges for witness attendance at trials and hearings. Processes appropriate post-trial documents, including expungements and bail forfeitures. Perform other related duties and responsibilities as assigned. MINIMUM QUALIFICATIONS Education: High school diploma or GED.
Experience: Four years progressively responsible administrative support experience involving public contact, organizing, and maintaining complex filing systems, maintaining multiple schedules and calendars of meetings. Experience working in a legal office setting handling staff support for misdemeanor or felony prosecution preferred.
Certifications/Licenses: Valid Utah Driver's License C.I. certified, or ability to obtain within 6-months of date-of-hire. Notary Public preferred. KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of: Legal procedures and practices involved in processing and filing a variety of legal documents, preferably, related to criminal prosecution. Legal terminology and the forms and documents used in clerical and technical, preferably, work related to criminal prosecution. Alphabetical, numerical, and subject matter filing systems. Principles and practices of data collection and report preparation. Principles and techniques used in dealing with the public, who are sometimes agitated or hostile. Proper English usage, spelling, vocabulary, grammar, and punctuation. Skill with: Operating office equipment, including computer equipment and software. Typing and entering data. Ability to: Interpret, apply, explain, and seek compliance with the policies, procedures, laws, codes, and regulations pertaining to Prosecution programs and functions. Respond to requests and inquiries from the public and Prosecution personnel regarding policies and procedures. Learn the procedures and functions of the assigned position and maintain updates. Learn the operations, services, and activities of the Prosecutor's Office. Learn to interpret, apply, explain, and monitor compliance with the policies, procedures, laws, codes, and regulations pertaining to Prosecution programs and functions. Understand the organization and operation of the Prosecutor's Office necessary to perform assigned responsibilities. Prepare and maintain accurate and complete records, documents, and legal materials. Respond to requests and inquiries from the public. Meet and deal tactfully and effectively with the public, in hostile or high stress situations. Maintain confidentiality of sensitive information. Plan and organize work to meet schedules and deadlines. Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs. Communicate clearly and concisely, both verbally and in writing. Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work. WORKING CONDITIONS AND PHYSICAL DEMANDS Work in a standard office environment which includes reaching, bending, sitting, standing, talking, hearing, and listening. Ability to travel to different locations. Ability to work remotely.
