Job Summary:
As a legal secretary, you will provide administrative support to lawyers and legal professionals in a law firm. Your primary responsibilities will include preparing and formatting legal documents, typing up notes, maintaining filing systems, scheduling appointments, and meetings, and assisting with general office tasks. Responsibilities: Document Preparation: Draft, format, and proofread legal documents such as contracts, briefs, pleadings, motions, and correspondence. File Management: Maintain organized and up-to-date physical and electronic filing systems for legal documents, correspondence, and case materials. Communication: Manage incoming and outgoing communications, including phone calls, emails, and mail. Relay messages accurately and efficiently. Calendar Management: Schedule appointments, court dates, meetings, and conferences for attorneys. Coordinate travel arrangements and accommodations when necessary. Client Interaction: Interact with clients, both in person and over the phone, to schedule appointments, gather information, and provide updates on case status. Research: Conduct legal research using online databases and resources to gather information relevant to cases, statutes, regulations, and legal precedents. Administrative Support: Assist attorneys with administrative tasks, including photocopying, scanning, faxing, and filing. Maintain office supplies and equipment. Confidentiality: Handle sensitive and confidential information with discretion and maintain confidentiality at all times. Requirements: Education : High school diploma or equivalent. Additional certification or coursework in legal studies or office administration is preferred. Experience: Prior experience as a legal secretary or in a similar administrative role is advantageous. Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent typing and transcription skills. Strong written and verbal communication skills. Attention to detail and accuracy. Ability to prioritize tasks and work efficiently under pressure. Knowledge of legal terminology, procedures, and documentation preferred. Interpersonal Skills:
Professional demeanor, excellent interpersonal skills, and the ability to work effectively as part of a team.
