Job Summary Reporting to the Company's General Counsel (the "GC"), the Legal Operations and Support Manager will be a valued member of the global legal team and be responsible for: managing, developing and streamlining legal operational strategies and processes, improving the overall global legal team operational efficiencies and controls; assist in driving organizational, strategic planning and execution, change management, data analytics and cost control across the global legal team and providing excellent and continuous improvement in the delivery and management of legal services.
The Manager will also directly support the GC's administrative needs and other administrative needs of the global legal team as directed by the GC. Given the broad nature of this role, the Manager in support of the GC will serve as a generalist across the Global Legal team to deliver a full range of deliverables in corporate governance, board meeting logistics and support, ethics and compliance, legal technology and software, legal vendor and matter management, data security and analytics, regulatory, and external resource management.
Qualifications Bachelors degree or higher required
Minimum of 10 years of executive support and advisement to a CSuite executive of a global company or law firm
Experience with managing and executing significant projects including preparing timelines deliverables and meeting applicable goals and metrics
Experience working on a corporate legal team or law firm with a focus on legal operations and sensitive or confidential legal compliance governance and related matters documents and information
Demonstrated exceptional attention to detail and ability to compile and analyze complex legal and business information determine costsbenefits evaluate risks and provide resolutions or recommendations
Demonstrated ability to maintain a high degree to confidentiality and to effectively manage sensitive and confidential situationsmatters with tact composure and good judgment
Highly collaborative with the ability to influence without authority and build strong relationships within the legal team and the entire organization
Excellent financial analytical decisionmaking and problemsolving skills
Proven selfstarter proactive resultsoriented highenergy team player with demonstrated leadership and strong organizational skills who brings a positive can do attitude to the workplace
Minimum of 5 years of team management experience with employee engagement facilitationleadership
Demonstrated ability to independently move projects forward by gaining the support needed from others while working in a crossfunctional role
Significant experience in evaluating and implementing technology solutions to maximize efficiencies in an organization
Strong experience in developing implementing and using legal compliance andor contract management technology solutions such as TeamConnect or other matter management systems Navex or other compliance systems Ariba or other contract management systems DocuSign or other esignature platforms etc
Demonstrated proficiency and at least 3 years experience with finance and HR technology solutions eg SAP Coupa Readsoft SuccessFactors etc
Strong proficiency and advanced skills in document creationediting tools such as Microsoft Word Excel Powerpoint Teams Sharepoint Outlook etc as well as other related tools such as Nitro Adobe etc
Strong written and verbal communication skills particularly when working with sensitiveconfidential matters
Ability to multitask accurately and work independently while demonstrating flexibility with changing priorities
Responsibilities Monitor and support all administrative needs of the GC and provide adhoc administrative or other support to the executive management or members of legal leadership team per direction of the GC on special projects or matters
Work closely with the GC to manage and support sensitive andor confidential legal compliance or business matters while maintaining a high level of confidentiality and professionalism
Partner with the legal team to develop implement and execute legal operational strategies and tools which improve the efficiency and effectiveness of legal operational matters such as legal matter and contract management risk management documents records and information management performance metrics and data analytics budget and cost management legal technology management ethics and compliance management and legal administrative management
Manage and serve as the internal owner of the Company ebilling operations including leading the onboarding of vendors and outside counsel management and enforcement of the Companys billing guidelines and directing outside counsel regarding ebilling and related matters
Manage develop and implement legal team technologies and software to help improve efficiency effectiveness and quality of legal services
Partner with members of the legal team to identify and drive progress on crossfunctional projects andor implement new or more effective scalable legal and business processes protocols and procedures which drive continuous improvement and promote ontime and onbudget legal support
Drive enhancement of legal team capabilities and operations which enable and promote high quality cost effective legal support and efficiency
Partner with legal team to develop and report on meaningful metrics benchmarks dashboards and data analytics to help assure continuous improvement and ontime deliverables
Report on key operational and substantive metrics forto the GC that will better inform decisionmaking and resource allocation
Develop manage and enforce processes policies and reports to effectively manage outside counsel and third party vendor spend
Assist the GC as necessary with managing internal legal team budgeting financial reporting and spend
Prepare report and assist in responding to requests andor relevant data to finance accounting and audit teams as requested in connection with legal and governance matters including matters related to independent auditors regulators governmental bodies and other third parties as directed by the GC
Support securities and SEC reporting and compliance as directed by the GC and in collaboration with attorneys accounting finance investor relations and other professionals
Lead manage plan and successfully execute Board of Director meeting logistics and support onsite and offsite as well assist in managing corporate and board governance tools platforms and software including Diligent
Support and manage certain board and corporate governance processes and protocols including director and officer questionnaires third party or related person transactions searches and processes annual shareholder meeting Company proxy and annual report andor related SEC filings corporate binders records or documents etc
Manage and lead the coordination and collaboration of other legal support persons an effort to drive accountability share ownership or workload when necessary and work together to advance drive and achieve legal team operational efficiencies
