Posting Identification Number 37766  POSITION SUMMARY The State of Illinois Department of CMS, Division of Learning and Professional Development is seeking to hire an Administrative Assistant. This is a fast-paced talent development support function role, working with sensitive and confidential information. The person selected for this position will frequently work with various tasks. The ideal candidate would have a strong background in human resources, training, organizational development, or talent development. This candidate must have the ability to work independently to ensure critical deadlines are met. This candidate must multi-task many priorities occurring simultaneously and must have the ability to demonstrate attention to detail with emphases on strong professional writing skills. The ideal candidate will also have knowledge of Microsoft Word, Excel, PowerPoint, and database programs as these will be used frequently in this position.

POSITION ESSENTIAL FUNCTIONS Under administrative direction of the CMS Chief Learning Officer, functions as a staff assistant performing a variety of staff assignments some of which may be of a sensitive nature. Serves as the Learning & Professional Development Office's main contact for Learning Management System (LMS) data entry, functionality, and reporting. Assists in the administration and coordination of all Learning and Professional Development Programs. Conducts and performs highly complex and specialized studies, reports, and special projects for the Learning & Professional Development office, frequently of a highly sensitive nature. Performs liaison work between agencies and Department of Central Management Services (CMS) LPD program serving as the general inbox and phone line administrator. Interprets, discusses, and explains Learning & Professional Development programs to interested groups. Performs other duties as required or assigned that are within the scope of the duties enumerated above. MINIMUM QUALIFICATIONS Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration. Requires two years of professional experience in a public or private organization. PREFERRED QUALIFICATIONS Prefers two (2) years' professional experience gathering data and creating reports. Prefers working knowledge of the Microsoft Office Suite Software applications, including Word, Excel, PowerPoint, SharePoint, and/or Access. Prefers extensive knowledge using effective organization, time management, and communication skills. Prefers two (2) years' professional experience with enterprise-wide personnel systems. Prefers two (2) years' professional experience in professional writing. Prefers a nationally recognized human resource related certification such as PHR (Professional in Human Resources) or SHRM-CP (Society for Human resource Management – Certified Professional). Prefers some college. CONDITIONS OF EMPLOYMENT Requires completion of a background check and self-disclosure of criminal history. Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends. Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties. Requires the ability to use agency materials/equipment (i.e., mobile phone, laptop, etc.). Requires ability to travel in the performance of duties.
