JOB BRIEF The U.S. Institute of Peace seeks a contractor who will support the Policy, Learning, and Strategy center. Their portfolio will be comprised of basic research and writing, events support, and other duties as they arise. The contractor should be an excellent communicator, highly organized, and adept at learning and navigating USIP's various systems for events and publications. S/he should have a substantive background in international affairs, conflict management, or Africa programming. This person will provide hourly support for 30-40 hours per week to the Senior Advisor for Conflict Prevention and Fragility and the implementation of the Global Fragility Act.
RESPONSIBILITIES Administrative and Programmatic Support: Schedules meetings and activities. Responds to questions regarding general programmatic procedures and standards. Edits content and supports the production of quarterly and monthly project reporting. Assists the program staff in setting up administrative procedures for projects by establishing filing systems, logs, mailing lists, etc. Schedules meetings and activities. Completes special assignments as needed. Budget and Contract Management: Generates routine budget reports to help monitor program budget.   Provides contract management support activities, including drafting solicitations (i.e. requests for proposals or requests for quotes), assisting with drafting contract scopes of work, support contract leads in tracking the receipt of contract deliverables.   Event Planning: Assist in administrative tasks, including logistics, and note-taking at meetings and events. Drafts event text, agendas, panelist bios, etc. and develops promotional and informative descriptions of events for internal USIP staff members and external guests. Maintains database of U.S. Government and other partners and engages with these stakeholders prior to, during, and after meetings on behalf of USIP's PLS program. Coordinates all logistical arrangements for program events, including creating and managing Zoom meetings, reserving rooms, developing invitations, monitoring RSVPs, ordering supplies, arranging room set-up, and serving as the main point of contact for attendees. Regularly updates the PLS fragility database and consults with other programs as needed on invitees. Liaising with reception and security to grant building access to guests and greeting and escorting guests. Coordinating the virtual portion of the event, including reserving Zoom or teleconferences lines in advance and operating platforms during the meetings to allow for remote participation. Coordinates domestic and international travel and overnight accommodations for event participants. Research Assistance: Conducting research and policy analysis on conflict drivers and conflict prevention policies. Conducting desk research for case studies. Drafting short papers on related topics. Stay abreast of relevant publications and policy developments. Attend meetings on related topics around Washington, DC, and write up meeting summaries. Serve as a connector to other institutions and representatives at their meetings when the Senior Advisor for Conflict Prevention and Fragility is unable to be physically present. Coordinate publications process with Public Affairs and Publications teams. Build relationships and liaise with other departments at USIP as needed to accomplish the above tasks. Performs other duties as assigned. QUALIFICATIONS A Bachelor's degree in conflict, international development, political science, or a related field is required. One (1) or more years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities required. Knowledge of conflict prevention, management, and resolution. Excellent verbal communication and writing skills are required. Strong time management skills with the ability to prioritize work and meet deadlines. Experience organizing public events, roundtables, conferences, and meetings preferred. Knowledge of program management processes, especially project planning, budgets, and monitoring and evaluation. Expertise in database management and knowledge management is desirable. Strong skills in the Microsoft Office Suite, particularly Word, Outlook, and Excel required. Experience making domestic and international travel arrangements preferred.
