Residency in or relocation to Louisiana is preferred for all positions. Grade 1 POSITION PURPOSE Opens and retrieves mail (including certified mail), identifies correspondence that needs to be scanned, and delivers correspondence, reports and letters in a timely manner to the appropriate members of the Benefit Operations Division and other departments twice daily. Sort, batch, scan, and index paper and electronic documents for all lines of business and directs image to proper processing unit through the imaging system. NATURE AND SCOPE This role does not manage people This job reports to: Departmental Leadership Necessary Contacts: In order to effectively fulfill this position, the incumbent must be in contact with:BET, Customer Service, Corporate Communication, Legal, IT, Internal Audit, Sales & Marketing, Medical Review, Provider Relations, Provider Services, Quality Management, District Offices, Group Leaders, and Producers, Vendors, and all levels of Enrollment and Billing personnel and other BCBSLA departments as needed. Qualifications Education High School Diploma or equivalent is required Work Experience 1 year of clerical experience is required Operational experience is preferred Facets experience is preferred Skills And Abilities Must be able to assist both internal and external customers in a variety of situations as well as handle multiple tasks concurrently. Able to cohesively work in a team environment to ensure efficient and effective completion of all tasks for assigned groups. Able to shift priorities as needed to cover multiple tasks in the process as directed by leadership. Must demonstrate PC skills including Microsoft Office (e.g., Word, Excel, Outlook, etc.) and related software as other corporate software programs and applications, including but not limited to FACETS, Common Query, and CMOD. Punctual and regular attendance is required required Licenses and Certifications None Required Accountabilities And Essential Functions Opens and retrieves mail, identifies correspondence that needs to be scanned, and delivers correspondence, reports and letters in a timely manner to the appropriate members of the Benefit Operations Division and other departments twice daily. Visually inspects benefit operation images for completeness to ensure compliance with scanning requirements as well as verification. If documentation is missing required information, research to ensure accuracy of records. In order to locate missing information, research Facets. Sort, batch, scan, and index benefit operations documents for all lines of business and directs image to proper processing unit through the imaging system. Monitors the Right Fax mailbox. Extracts information that will determine the correct indexing queue. Maintains documentation according to storage guidelines: boxing, shelving and disposal. Provides timely, effective processing of certified mail. Provides routine maintenance of the scanning equipment. Supports other clerical functions, including ordering and maintaining inventory of office supplies, complete related supply requisitions, maintain file of receipts and follow-up on outstanding orders. Responsible for special handling of certain high-profile groups. All tasks mentioned above must be done accurately and in a timely manner. Collaboration with other departments and team members within departments to ensure workflow is maintained and processed in a timely manner. Maintains accurate and consistent reporting of work performed to allow clerks to keep track of productivity against established standards for speed.
