Description
Position Summary:
The HR Administrator/Assistant works within the operating unit to provide day-to-day support to HR and safety.
The Administrator/Assistant carries out responsibilities in the following functional areas: HR/payroll administrative support, safety, compliance, policies and procedures and employee records/files.
Job Functions:
HR/PAYROLL SUPPORT
Handle new hire orientation, including preparing and processing all required paperwork;
Coordinate pre-employment background, drug, and fit-for-duty exams and monitor all results;
Maintain employee and department files, both hard copy and electronic ;
Maintain a separate filing system for I-9 documents, ensuring accuracy in completion
Assist payroll processor with payroll audits;
Support HR and payroll with special projects as needed;
SAFETY SUPPORT
Manage safety paperwork for new hires;
Add/remove drivers as necessary from the authorized drivers list;
Review DMV notices in the driver monitoring system.
Review/respond to "How's my driving?" complaints;
Manage company's Department of Transportation (DOT) compliance including tracking required annual physical evaluations;
GENERAL ADMINISTRATIVE SUPPORT
Process new badge requests and renewal badging as required for various projects;
Administer third-party prequalification management software;
Update insurance documentation as required by annual compliance;
Assist in completing project prequalification questionnaires;
Assist with auto claims processing including reporting incidents to insurance carriers, communicating with body shops, and following up with local police when applicable.
Requirements
One-two years' experience in HR or safety field;
Strong organizational skills and detail oriented;
The ability to maintain confidentiality;
Effective verbal and written communication skills;
Excellent interpersonal skills;
Computer literacy with strong working knowledge of Microsoft Office programs including Word, Excel,PowerPoint, and Outlook
Bilingual in Spanish a plus
