Who We Are ChefStable partners with chefs to design, build, and operate restaurants in Oregon and Washington. We provide our clients with expert accounting, HR, and operational support, allowing them to focus on what matters most: food, service, and the guest experience. 
Schedule and Location This is a full-time and Exempt position. The HR team has a hybrid setup, working two-three days a week from the office. The regular hours of operation are 8AM to 5PM, though we're flexible. During the first few weeks, we'd like this individual to work primarily from the office to support smooth onboarding, training, and integration. Our office is located at 819 SE Grant in Portland. 
Compensation and Benefits $70,000 - $75,000 annual salary. 10 days paid time off, accrued at 3.077 hours per pay period, and 11 paid holidays. 401(k) eligible at 90 days with a 3% employer match.  Medical, dental, and vision insurance eligible starting 1st of the month following the first day of employment.  HSA option is available with matching contributions.  Voluntary life and AD&D coverage. $50/month cell phone reimbursement. 50% food discount for you and one guest at participating ChefStable affiliated restaurants.  Onsite gym and private showers.  City of Portland area parking pass. Who We're Looking For To be successful in this role, the incoming HR and Payroll Specialist must have the following. Please note that you don't need to submit a fancy resume to get an interview, but you do need to submit a resume that demonstrates you meet these qualifications. High school diploma or equivalent (GED).  At least two years of experience reviewing, correcting, and submitting payroll for several smaller companies or one large company.  At least six months experience reviewing and processing workers' compensation claims.  At least one year of experience providing HR support.  A genuine interest in learning about different components of HR, which includes the desire to actively participate in improving HR services and processes.  Working knowledge of payroll/HRIS like Paylocity, ADP, or Paychex.  Strong preference for Paylocity experience as that's what we use.  Ability to effectively utilize Google Workspace (specifically Gdocs and Gsheets, including basic to intermediate formulas) and Adobe Acrobat.  Strong sense of self-efficacy, capable of independently problem-solving while knowing when to seek assistance.  Strong organizational and the ability to effectively meet deadlines. Strong written and verbal communication skills.  Day in the Life Below, we've provided an overview of what the individual in this role will be responsible for. Payroll and HRIS Support On a bi-weekly basis, review, correct, and submit payroll on time. Below, we've provided a summary of what this process entails.  Send the existing or revised version of the payroll reminder to businesses on Monday morning of every payroll week.  Ensure businesses have uploaded their information and send reminders to businesses whose payroll has not been submitted before the deadline. Use the pre-process register to input required information into the tracker, correct individual pay profiles, and manually adjust batches as needed. Verify with the business if a gross payroll significantly differs from the previous payroll period. When payroll is correct, submit and note that payroll was submitted in the tracker. Alert the respective business that their payroll has been successfully submitted. Create/revise, and deploy onboarding packets as needed, saving EE documents appropriately.  Monitor, process, and adjust wage garnishment orders accurately and within legal guidelines.  Receive and process manual checks when requested, promptly delivering check stubs and net pay amounts to requestors.  Autonomously and in conjunction with the HR Team, update, create, and deploy comprehensive payroll training materials, facilitating training sessions for managers as needed.  Work with the HR Manager to audit and correct HRIS data on an established schedule. Utilize the reporting feature to provide scheduled or ad-hoc reports within the HRIS. Safety and Workers Compensation Ensure all workers' compensation claims are processed promptly, communicating with management and injured employees to support a smooth return to work process or, if applicable, a graceful exit. In conjunction with the HR team, review and implement safety program-related improvements. Strategic HR Actively contribute to achieving quarterly and annual HR goals and initiatives through proactive engagement and innovative thinking. Participate in 'learning lunches' hosted by HR, including assisting with selecting topics and facilitating sessions that enhance client/partner knowledge and performance. Propose and implement approved changes to HR processes and approaches when identified as beneficial, fostering continuous improvement and efficiency. Physical, Mental, and Sensory Requirements With or without accommodations, the individual in this role must be able to: Receive and understand information communicated via email, phone, or in person. Navigate up and down stairs. Understand and be able to apply basic math skills. Effectively understand basic social cues and be able to adapt to them. Understand nuanced topics and be able to apply that knowledge effectively. Retain and apply learned knowledge effectively. Lift, carry, and move items of up to twenty pounds. Sit/stand for prolonged periods. Work in different environments with varying noise levels, temperature, and activity. Utilize peripherals such as a mouse, cellphone, phone, printer, and keyboard.
