Position Type Management JOB SUMMARY
The Senior Program Specialist, Openings & Transitions is responsible for administering programs, or a portion of programs that are typically division-wide or company-wide in scope. This position acts as an expert for the programs being administered and makes judgments regarding compliance with the programs' terms and parameters. Answers questions and provides standard information pertaining to programs being administered, routine details, and other frequently asked questions. The Senior Program Specialist, Openings & Transitions explains administrative procedures surrounding the programs and provides technical guidance as necessary. Provides technical interpretation of the program/plan documents. This position maintains the Salesforce platform, including maintaining and auditing users, maintaining data and controls, and troubleshoots issues. This role will report to the Manager, Business Operations. CANDIDATE PROFILE Required Education and Experience High school diploma or GED; plus 4 years' experience as a program specialist or related professional area. OR
2-year degree from an accredited university in Business Administration, Hotel and Restaurant Management, or related major; plus 2 years' experience as a program specialist or related professional area. Preferred knowledge of Certinia (Formally Financial Force) or related Sales Force System in an admin capacity (PSA experience) Knowledge of the administrative processes related to the position typically gained through several years of related experience. Knowledge of advanced functions of one or more business software packages primarily word processing, spreadsheet, and database. Knowledge of the technical regulatory requirements that pertain to the program(s) being administered Strong proven knowledge of trending technology and industry trends CORE WORK ACTIVITIES Program Administration Permission Management (using Salesforce Permission Sets, Permission Set Groups, Roles, Profiles, Public Groups, and Sharing Settings" Onboarding, Offboarding, and role changes Creating and maintaining accurate Salesforce users, PSA Resource (Contact) records, and Permission Controls records Managing and monitoring licenses and usage Communicating, eliciting, and documenting requirements Working with business leadership to prioritize said requirements Facilitate testing and validation of new features with users Work with business users to gather requirements for enhancements, make recommendations for efficiency improvements Refer to best practices and out of the box functionality to determine the best solution for the business Use standard declarative automation tools to tailor the system to align to business processes Manage the deployment cycle of changes and upgrades between environments Work closely with vendors/partners as needed for advanced configurations Produce communications to support change management related to platform enhancements Maintain validation rules and automation to improve data integrity Create Reports and Dashboards to help surface data to support business decisions Maintain Workspaces, monitor reports flagging data quality issues, and maintain accurate Rate Cards, Holidays, and Time Periods Import data from external sources to maintain accurate data on the platform Evaluate and implement 3rd party integration if needed Troubleshoot errors, find help for user questions, and coordinate Support cases with Certina Support and/or Salesforce Support Create and maintain Scheduled Jobs in PSA (Utilization, Backlog, Actuals, Project Variance, Time Variance, Missing Timecards, etc.) Monitor Transaction Deltas and resolve App Log errors as needed Monitor Salesforce system maintenance schedules to reduce downtime Stay up to date with the latest releases from Salesforce and Certinia Learn about new features and identify and showcase features that may be relevant to business users Validate existing processes and test new features in product releases Other Responsibilities Acts as main point of contact and resource for existing platforms to include but not limited to: Microsoft Office, Microsoft Teams, Power VI, Smartsheet, OASIS, DocuSign, FS Opening Apps, Google Docs, Certinia, Microsoft Bookings Explains the administrative procedures surrounding the program(s) and researches and responds to all questions regarding the program(s) including infrequently asked questions or nonrecurring issues Provides technical interpretation of the program/plan documents Composes correspondence or documents pertaining to the program(s) being administered including unique information pertaining to a specific situation or exception Researches questions and problems regarding department policies, procedures, information or services, including those of a complex nature Develops and maintains a tracking or reporting system pertaining to the programs being administered utilizing spreadsheet, database, or other software applications Assists with attaining prices and service agreements to implement and enhance systems and tools for the department Utilizes innovative technology to analyze business processes and create efficiencies within the organization Conducts research and/or analysis for implementation projects as requested Executes against project phases to ensure sustainability and success of in-scope projects Consistently recognizes and shares opportunities to implement processes, procedures, and technology for increased team efficiency across all levels within the department Documents guides and manuals and builds processes and procedures for in-scope projects Assists in the creation, design and implementation of complex systems and collaborative customer-facing tools from start to finish related to critical business processes to support internal and external stakeholders Builds and maintains resources to include but not limited to MGS sites, programs, pages, etc.
Perform other job duties as assigned. Supervision Received Incumbent receives minimal supervision. Instructions are received at the beginning of complex projects and sensitive assignments and the resulting work is generally reviewed at completion. Incumbent has a high level of autonomy when handling requirements of their position. Incumbent is responsible for setting priorities and establishing procedures for completing responsibilities. There may be significant variation in daily workload which requires constant, independent prioritization. Colorado Applicants Only: The hourly pay range for this position is $21.16 to $39.31. New York City & Westchester County, NY Applicants Only: The pay range for this position is $25.60 to $43.22 per hour. Washington Applicants Only: The hourly pay range for this position is $21.16 to $43.22. In addition, the position is eligible for an annual bonus. Employees will accrue 0.04616 PTO balance for every hour worked and eligible to receive minimum of 7 holidays annually.
