FLSA CLASSIFICATION : Exempt COMPENSATION PLAN : Professional Technical PAY RANGE : Range 6 Compensation Information Link Benefits Information Link Core Values Information Link SUPERVISOR : Director or designee LAST UPDATED : 02/08/2023 JOB SUMMARY : Coordinate and see through the completion of all grant funded projects on time, within budget, and within scope. Manage all aspects of individual projects, including budget creation and revisions, analysis of grant expenditures to ensure grant objectives are achieved, setting deadlines and monitoring and summarizing progress of projects. Ensure all grant money is spent, recorded, and properly classified by the end of the fiscal year. Collect compliance documentation for all grant funded projects. DUTIES AND RESPONSIBILITIES : The following tasks describe the basic functions of the job and represent the type of work performed. They do not constitute an exhaustive list of the duties and responsibilities performed on the job. The following frequencies and percentage of time spent are approximations only and are subject to flexibility dependent on organizational needs.
Coordinate the day-to-day grant funded project activities and resources. Collect documentation to ensure State, Federal, and District compliance. Ensure department policies and procedures satisfy audit requirements. Set and continually maintain project and program expectations. Communicate with grant recipients on a regular basis. [Daily, 15%] Manage all aspects of multiple grant funded projects to ensure the overall program is aligned to and directly supports the achievement of the district's strategic objectives, including balancing program objectives with existing District policy and the Colorado Department of Education or respective funding partner. [Daily, 15%] Analyze and report on project success criteria results, metrics, and test and deployment management activities. Troubleshoot problem areas as needed. [Daily, 10%] Develop and initiate methods for tracking, recording, and reporting to accurately document expenditures and provide high-level detail for management. Provide guidance and recommendations for expenditure tracking systems and ensure that a progress monitoring tool is utilized to communicate to management and grant recipients. Utilize advanced spreadsheet skills to serve as the departmental Excel resource. [Daily, 10%] Build and maintain effective working relationships with team members, funding entities, departments involved in the projects, and charter and non-public school entities. Identify and develop trusted advisor relationships with project and program stakeholders, sponsors, and school stakeholders. Engage grant recipients to establish credibility, solve problems, and achieve grant objectives. [Daily, 10%] Initiate and process purchase orders, direct pays, miscellaneous compensation forms, and other financial documents for all grant-funded projects that are monitored through the Grants Management Department. [Daily, 10%] Collect documentation for external audit requests, including providing access to the necessary detail for grant transactions. [Daily, 10%] Monitor, track, and control outcomes to resolve issues, conflicts, dependencies, and critical path deliverables. [Daily, 5%] Procure adequate resources to achieve project objectives within planned timeframes. [Daily, 5%] Participate in establishing practices, templates, policies, tools, and partnerships. Research best practices around compliance of grant expenditures, monitoring spending progress, and using continuous process improvement disciplines to achieve intended/desired results. [Daily, 5%] Perform other related duties as assigned or requested. [Daily, 5%] MINIMUM QUALIFICATIONS : The minimum amounts of formal education, professional work experience, knowledge, skills, and abilities that must be met for a candidate to be considered for a position
Bachelor's degree Three (3) years of professional work experience in project management, grants management, accounting, accounts payable, accounts receivable, banking, bookkeeping, budget, or financial planning and analysis Experience in successfully managing projects and programs Self-motivated and decisive Adept at researching project-related issues and products Flexible with proven ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities Technically competent with various software programs, including but not limited to Microsoft Office (Word, Excel, PowerPoint) Must be able to learn, understand and apply new technologies Must be detail-oriented, extremely organized, and have strong presentation skills Intermediate verbal and written communication skills Intermediate interpersonal relations skills Ability to adapt to change and competing demands Ability to work independently and collaboratively with others Ability to demonstrate teamwork, innovation, and excellence Ability to work creatively and analytically in a problem-solving environment Criminal background check and fingerprinting required for hire MINIMUM CERTIFICATIONS AND LICENSES : The minimum certifications and licenses that must be met, valid, and unexpired for a candidate to be considered for a position

Experience working in an educational environment Experience planning and coordinating grant training materials for grant recipients Experience working with vendor contracts, grant award letters, and budget/spending plans Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds Racially conscious and culturally competent with the skill, will, capacity, and knowledge to commit to a culture of continuous improvement PHYSICAL AND MENTAL DEMANDS : The physical exertion, cognitive capacities, and work environments required to perform a position's duties and responsibilities
